Position Summary Job Summary: The Events Intern will work closely with the Event Planner to the offices of the President and Advancement. The Event Intern, in addition to various members of the Advancement staff will complete a wide range of event planning and management. This requires clear communication, excellent organizational skills, and attention to detail. The Events Intern is a member of the Advancement team and plays an important role in the efficient and effective execution of university events. The Events Intern is expected to be professional, service oriented, and a team member. Trustworthiness, discretion, good judgment, and integrity are among the essential qualities for this position. The Events Intern must exhibit a demeanor and appearance appropriate to the office. This position is defined as a non-exempt position under FLSA regulations. Specific Responsibilities: * In consultation with VP for Advancement, President, First Lady, Event Planner, and other staff, the Events Intern will plan and coordinate a variety of special events involving students, faculty, staff, alumni, and friends of the University. This involves all aspects of event planning including the development of invitation lists; creation and distribution of invitations; coordination with facilities management, caterers, florists, etc.; development of budgets, processing of expenses; and coordinating event logistics and staffing. * Create and maintain event files in a manner that is understood by all office personnel and assures quick and accurate retrieval of information. * Brief appropriate staff and arrange for necessary technology and dining needs when appropriate. * Maintain a professional demeanor at all time. * Collaborate with Advancement and in all aspects of event management. * Answer telephone, screen and respond to requests, and transfer callers to appropriate offices * Provide event information to the VP of Advancement, President, First Lady, and any other essential staff prior to the event. * Conduct post-event evaluations. * Contribute to the overall success of the mentioned departments and University by performing all other duties and responsibilities as assigned. * Frequent interaction with the VP of Advancement, President, First Lady, Senior Leadership Team, Board of Trustees, Alumni, and University guests. Learning Objectives: * Apply professional behavior and or knowledge to the workplace * Will have improved skills, confidence, and competency in event planning * Communications skills Required Qualifications Knowledge, Skills, and Abilities: Proficiency in Microsoft Word, Microsoft PowerPoint, Microsoft Excel, Microsoft Outlook. Ability to fax, use a copier. Personal computer needed. Education: First year and sophomore, all majors. Location: On SU Campus Additional Requirements: This position is paid $11.00 per hour with approximately 15 hours per week. Physical Demand: Position requires the ability to stand or sit for extended periods of time. Position requires the ability to move about the campus. Position requires the ability to talk and to hear instruction. Position requires occasional manual dexterity and the ability to use fingers, hands, and arms to feel, handle, and reach. Position requires occasional stooping, crouching and bending. Position requires the ability to occasionally lift up up to 10 pounds.
