Job Description Collin County is seeking candidates for the position of Records Management Coordinator in the District Clerk's office. This position is responsible for ensuring the District Clerk's office adopts and follows a records control schedule that complies with the requirements established on records retention schedules issued by the Texas State Library and Archives Commission, Local Gov't. Code 205.003(a), and that administrative rules for electronic records are followed. Responsibilities include: * Supervising personnel assigned to Records, including recruiting, interviewing, and hiring for position vacancies, training, conducting employee performance reviews, resolving personnel issues, and handling disciplinary actions and terminations.. * Training staff on confidentiality, records security, and how to handle requests for records and copies, and meeting with them regularly to ensure ongoing knowledge and understanding of the latest legislation requirements and standards regarding records management. * Ensuring proper and accurate storage and labeling of records and evidence * Overseeing all record preservation projects and tracking of cases on and off the premises. * Making sure all case files are inventoried and logged clearly in the system with the correct retention date for destruction, if eligible. * Maintaining documentation on case numbers, page count, and destruction dates. * Supervising the destruction of records and evidence verifying a court order has been signed and filed in the case * Maintaining all Expunction cases and ensuring these cases are destroyed on the retention date listed. * Working with the District Clerk's Juvenile Department to make certain that all Juvenile Sealings are held and maintained in a locked and secure area. * Running monthly audits and reports. The Records Management Coordinator will set project goals for records management staff, ensure complete training on records management database and manage work schedules. The position is responsible for maintaining clear and open communication with senior staff on preservation projects and make recommendations for best practices, including working on creating a digital process for storing evidence electronically. Participation in continuing education conferences and meetings is required. Will perform other duties as assigned. Must have level of education equivalent to four years of high school or equivalency. Strong written and verbal communication skills as well as a high level of knowledge in Microsoft Office applications are required. 3-5 years' work experience required. A minimum of 5 years' experience in database and records management is highly preferred. Must possess and maintain a valid Texas Driver's License with an acceptable driving record. Ability to pass a criminal background check is required. Certified Records Management Officer preferred, or ability to obtain upon hire. Training and exam will be provided for certification.
