Primary Purpose of Organizational Unit UNC-Chapel Hill collaborates with nearby NC State University to extend both universities' temporary staffing power by operating as a shared service for both institutions. Under this partnership, University Temporary Services (UTS) provides exclusive temporary staffing services to UNC-Chapel Hill and NC State, employing candidates to work as temporary employees in a variety of jobs on both campuses. Position Summary Job Description: The Conference Coordinator position works onsite 40 hours/week at the Friday Conference Center. The Friday Conference Center provides modern meeting spaces and exceptional event services for a variety of educational purposes such as large, multi-day conferences, banquet receptions, small seminars and, professional development workshops. The Conference Center function is led by Conference Services and supported by several teams across Digital and Lifelong Learning. This position is responsible for providing planning and day-of support to Conference Center programs. This can include: * Serving as day of point of contact for client and monitoring conference activities on-site. * Ensuring venue and rooms are staged per specifications of clients. * Anticipating and addressing program needs and day of change requests. * Working closely with Conference Center teams in evaluating and planning successful delivery of services. * Tracking information in reservation system and ensuring that program deadlines related to meeting planning, catering, technology, setup, and billing are met. * Assessing venue availability and layouts based on specific program needs, service delivery requirements, and overall program use of the building. * Applying knowledge of services, pricing, and policies to generate program proposals in reservation system that align with services and program needs. * Working with clients throughout the planning process to meet program deadlines that ensure successful delivery of services. * Serve as primary point of contact for clients through the program planning process. * Other duties as assigned. This person will work with the Director of Conference Services to identify and support Conference Service team and event needs as related to the duties above. The scope of these duties requires a general understanding of event planning processes, including: * Experience working in event venues * Experience planning and executing events * Clear and concise communication * Experience working with deadlines and multiple teams at one time * Experience working within a reservation system or similar software system Minimum Education and Experience Requirements 1 year experience and 4 years of education post high school graduation Required Qualifications, Competencies, and Experience N/A Preferred Qualifications, Competencies, and Experience N/A Special Physical/Mental Requirements N/A Campus Security Authority Responsibilities Special Instructions UNC-Chapel Hill and NC State University are collaborating to extend NC State's internal temporary staffing function as a shared service for both institutions.
