Basic Function Provides general administrative support to Women's and Gender Studies Program and Laura C. Harris (LCH) Series. Acts as primary point of contact within department/ program and LCH Series for other offices/employees and LCH speakers and speaker agencies, managing records, provides general office and course support to faculty. Assists department chair with annual budgets and other fiscal needs, maintains course documentation, and provides support for special events. May supervise students. Serves as coordinator for year-long, integrated Laura C. Harries (LCH) Series programming, including working with the LCH Committee, communicating with speakers and/or speaker agents, supporting the coordination of contractual agreements, taking care of logistical support and event planning for the LCH Series, and supporting the LCH program co-sponsorship review process. Flexible schedule, including evening and summer hours, is expected. Essential Job Functions | 1. Provides support for departmental events including securing space, communications, event planning, travel arrangements and reimbursements, and catering. Makes travel arrangements for department visitors and assists with the development of itineraries. Creates promotional materials for department events. Coordinates communications with visitors prior to and during their time at the college. | 2. Organizes and maintains department records and files, including syllabi, assessment rubrics, abstracts, etc. Purchases and maintains office and course supplies. Maintains department and LCH Series calendar and secures room requests for department meetings. Supports coordination of campus-wide Nan Nowik Awards. | 3. Maintains data and documentation regarding department and course enrollment, email distribution lists, curriculum information, and course offerings. Provides information for course offerings and room preferences to the Registrar. Assists department with the curricular assessment process, compiling assessment data, and being a first point of contact for students. | 4. Updates department and LCH Series web pages, and information including course, faculty, major/minor information, and upcoming LCH Series event information. Provides marketing support by ensuring promotional materials with program and LCH Series information are on-hand and accurate. Coordinates with University Communication regarding program and LCH Series news. | 5. Provides administrative support to faculty by providing information and preparing various materials for courses and/or publication. Enters governance proposals into the PROM system. Prepares office space for new faculty. Provides logistical support for all department faculty in professional development travel. Hires and supervises student office workers. | 6. Processes invoices, procurement charges, processes all check requests, reimbursements, and transfers for the departmental accounts. Monitors/ tracks, reconciles and/or move funds within assigned budget. Maintains budget logs and verifies for accuracy. Assists department chair with annual budget and submits annual operating budget, capital budget, and personnel requests for the department chair. | 7. Coordinates with WGST faculty to develop LCH programming ideas, linkages, and support of nationally recognized speakers for the LCH Series. Coordinates communications for LCH co-sponsorship requests with faculty and staff across campus. Coordinates contracts and itineraries for LCH Series speakers and their agents. Communicates with LCH speakers and speaker agents prior to and during the visit. | 8. Coordinates all logistical arrangements for campus visits for all LCH Series visitors and faculty co-hosts involving talks, classroom visits, professional luncheons and dinners, lodging, travel, reimbursements, and other tasks. This requires evening hours. Coordinates logistical arrangements for student participation in the field's annual professional meeting. Plans, executes, and distributes publicity for LCH Series events. | 9. Performs other duties as assigned. Minimum Qualifications Level of Education Required: High school graduate or equivalent. Work Experience A minimum of 3 years of relevant experience. Additional "Key Attributes" (from "Key Attributes" on the "Job Description"; not sure where this fits with Minimum versus Preferred) Ability to work respectfully with students with a wide range of gender identities Ability to work with Google Workspace Apps (i.e. Google Docs, Sheets, Slides) Preferred Qualifications Preferred Qualifications Level of Education Preferred: Bachelor's Degree or Associate's Degree in Business Administration, Office Administration, or related field, plus relevant experience Other Requirements (i.e., certifications, licensures, etc.) Preferred: Have an interest in issues related to the study of women, gender, and diversity
