The Health Sciences Academic Services & Facilities has an outstanding opportunity for a Conference Coordinator 2 (NE S SEIU 925 Non Supv) to join their team. Reporting to the Program Support Supervisor of Instructional Support, this individual is primarily responsible for planning, arranging, coordinating and scheduling Health Sciences courses, course related events and conferences. This position will contribute to the Instructional Support mission by developing an environment of continuous improvement, pursuing innovation, and delivering excellent customer service. The Conference Coordinator will work with internal and external event coordinators, planners and presenters to arrange facilities, schedule resources, and assist in the billing process. Instructional support provides frontline customer service to the Health Sciences Community, which includes course and event scheduling, classroom technology and equipment, and laboratory support services. Our mission is to cultivate the Health Sciences teaching and learning environment by assessing customer needs to deliver innovative and proactive services. DUTIES AND RESPONSIBILITIES Events Coordination * Serve as lead contact and scheduler of departmental events and course breakout sessions, as well as other complex events, including but not limited to: school orientations, seminars, graduations, grand rounds, summer conferences, and blood drives * Provide customer walkthroughs of Special Event Spaces and General Assignment Classrooms; * Manage Use of University Facilities (UUF) and Alcohol Service Requests (ASR) process, including providing venue operator approvals, and monitoring UUF progress and communicating with event coordinators regarding status. * Manage event confirmations: develop and provide quotes for events, develop and document setup for complex events, monitor accuracy of confirmations and partner with process partners to update/correct reservations and documents. * Perform or coordinate other event-related support services. Instructional Support and Administrative * Manage, triage, and respond to general questions in Classroom Services ticketing queue. * Input and process billing for events. * Assist with work orders, including setups and repools of equipment and other inventory. * Independently manage event scheduling resources in SharePoint, including proactively updating maps, directions, room setups and diagrams, and pictures of spaces as needed; update list of contacts/spaces of alternative rooms managed by other departments. * Manage unit website edits. * Serve as backup to updating unit forms Academic Scheduling * Coordinate with Academic Scheduler to ensure course meetings, breakouts, and finals are properly scheduled according to University policies and procedures * Serve as back up to the Academic Scheduler, including assisting with course changes (e.g. assigning rooms, increasing enrollment limit, enabling add codes, assigning instructors, etc.) and monitoring Course Changes ticketing queue for time-sensitive changes during peak scheduling times or when Academic Scheduler is out of office MINIMUM REQUIREMENTS High School graduation and four years' of progressively responsible work experience involving public contact such as sales promotion, public information, or in the hospitality industry OR equivalent education/experience. DESIRED QUALIFICATIONS * Bachelor's degree (BA/BS) * Experience in room scheduling and room scheduling software (i.e. 25Live and UW Student Database) * Experience working in an academic environment * Proficient experience with various computer software and systems including but not limited to: databases, ticketing systems, and tracking inventory * Knowledge of basic Audio / Video Systems * Excellent communication and organizational skills * Experience working with Microsoft products (i.e. Excel, SharePoint, Teams), Google Docs or other collaboration software. * Skill at communicating with a diverse set of students, staff, faculty, and the public CONDITITONS OF EMPLOYMENT * Working Schedule Monday - Friday, 8:00am - 5:00pm * Ability to lift and move heavy material may be required * Walking to multiple buildings and floors may be required
