Posting Description

ADMINISTRATIVE ASSISTANT 1, EDUCATIONAL OPPORTUNITY PROGRAMS (OEOP) , Office of the Provost , to provide overall support to all programs of the OEOP (including the Upward Bound Program), help facilitate the smooth implementation of the department's/programs' many projects; and help manage the day-to-day functions of the office. Will attend meetings with the director and other department staff; maintain regular contact with host institutions, target community schools, and community organizations; assist in the provision of academic assistance to program participants; and perform other tasks as necessary to assist the director and support the department's/programs' missions. Responsibilities include performing clerical/receptionist and some student support duties; preparing and proofreading program reports and correspondences; receiving and distributing mail; answering basic telephone and in-person inquiries, referring as appropriate; preparing and sending mass mailings; maintaining files and records; preparing requisitions, requests for payment, and payroll; operating office equipment and program vehicles; making travel arrangements and completing related expense reports; ordering and maintaining office supplies; and performing other duties as assigned.

Job Requirements

REQUIRED : high school diploma or its equivalent; at least two years of related experience; strong organizational and oral and written communication skills; ability to deal effectively with program clients, parents, and the public; experience with office equipment; proficiency with Microsoft Office, FileMaker Pro, and desktop publishing software; ability to learn new software as needed (i.e., Student Access, Google platforms, etc.); demonstrated understanding of and sensitivity to the concerns/challenges of low income, first-generation, disabled, and under-represented students and their families; and a valid driver's license. PREFERRED : bachelor's degree.

Job #22795-4 Some travel and evening and weekend work will be required, including summer on-site work at Wellesley College and other summer program locations.
