ATTENDANCE ACCOUNTING ASSISTANT II BASIC FUNCTION: Under the direction of the Principal or Assistant Principal, perform student attendance accounting activities at a middle school or continuation high school; operate a computer terminal to input and update attendance data for required Average Daily Attendance (ADA) reporting; perform related clerical and record-keeping duties; assist with enforcing attendance policies. DISTINGUISHING CHARACTERISTICS: Attendance Accounting Assistant II incumbents perform student attendance accounting and clerical duties at a middle school or continuation high school and assist with enforcing attendance policies. Attendance Accounting Assistant III incumbents perform the more complex attendance accounting duties, and prepare, maintain, and account for attendance records and reports for a comprehensive high school while providing work direction to assigned clerical staff. Incumbents in the Attendance Accounting Assistant I classification perform clerical duties related to high school attendance accounting. REPRESENTATIVE DUTIES: Perform student attendance accounting activities at a middle school or continuation high school; provide accurate reporting for daily attendance activities and update attendance data for required ADA reporting; distribute, collect, and scan attendance sheets. Input student absences and appropriate codes into assigned student information software system(s); verify student absence information with teachers and parents; set up automated phone calls; receive parent notes and verify suspicious signatures; assist students and parents at attendance window or counter; issue readmit slips and off-campus and hallway passes to students. Perform clerical duties related to assigned activities; receive telephone calls from parents concerning student attendance; retrieve and respond to messages as appropriate; compose letters, memoranda and correspondence concerning student attendance. Assist with enforcing attendance policies according to established guidelines and procedures; oversee, counsel, and discipline students as assigned; notify parents of student absences; prepare School Attendance Review Board (SARB) letters as needed. Prepare detention slips and referrals for students with truancy issues and submit to appropriate personnel; communicate truancy issues to appropriate personnel or agency including police, probation, and truancy officers according to established procedures. Prepare and maintain a variety of records and reports related to student attendance and truancy, distributing to administrators and faculty as requested; compile information and data as assigned. Operate a variety of office equipment. Communicate with students, parents, administrators, faculty, social workers, and various outside agencies to exchange information and resolve issues or concerns related to student attendance; respond to inquiries and provide information concerning student attendance and enrollment. Assist with coordinating and scheduling student registration activities; monitor inventory levels of registration materials and order supplies as necessary; prepare registration forms and packets; assure appropriate paperwork is completed and signed. Participate in other assigned activities such as coordinating independent study contracts, performing receptionist duties, training and overseeing student assistants, responding to homework requests, assisting with schedule preparation, and withdrawing, transferring, limited registration, and releasing students. Perform related duties as they relate to this classification. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: Applicable sections of the State Education Code and other applicable laws. Record-keeping and report preparation techniques. Oral and written communication skills. Correct English usage, grammar, spelling, punctuation, and vocabulary. Interpersonal skills using tact, patience, and courtesy. Modern office practices, procedures, and equipment. Telephone techniques and etiquette. ABILITY TO: Perform student attendance accounting activities at a middle school or continuation high school. Input and update attendance data for required ADA reporting. Assist with enforcing attendance policies. Interpret, apply and explain rules, regulations, policies, and procedures related to school attendance. Learn District attendance policies, procedures, terminology, and accounting methods. Compile and verify data, prepare reports and maintain records. Operate a computer and assigned software. Communicate effectively both orally and in writing. Establish and maintain cooperative and effective working relationships with others. Meet schedules and time lines. Plan and organize work. EDUCATION AND EXPERIENCE: Graduation from high school and two years of general clerical experience in a school environment.
