SERVICE AREA: City of Philadelphia Division of Disease Control JOB OVERVIEW: The Philadelphia Department of Public Health (PDPH), through its Immunizations program in the Division of Disease Control, oversees the purchase and distribution of federally funded vaccines to local healthcare providers. As one of 64 U.S. Centers for Disease Control and Prevention (CDC) funded program areas, the Philadelphia Immunization Program is charged with the mission to prevent vaccine-preventable diseases and increase the immunization coverage levels among infants, children, adolescents, and adults in Philadelphia. The IIS Support Coordinator will be responsible for overseeing the Support Team and the Data Specialists under the Interoperability section of the IIS. This team primarily interfaces with external users of the IIS. They will oversee processes such as user account unlocking, creation, and renewals, protocols and communications regarding the Patient Portal and record requests, and general PhilaVax communications. This position will work closely with the Informatics Team and other staff to ensure that the program is prepared to respond to public health emergencies and able to effectively manage resources associated with the Immunization Program programmatic activities. In addition, this team will be responsible for the deduplication of patient records and other data clean-up needed to support high-quality data in the IIS. This position is Monday through Friday, 8:30 a.m. to 5:00 p.m., with occasional work after hours and on weekends to support Program activities. The position reports directly to the IIS Deputy Manager. This is a grant-funded position; continuation of the position is contingent upon sustained funding. This is not remote work. This position works from the Division of Disease Control office at 1101 Market St., Philadelphia, PA. RESPONSIBILITIES: * Manages IIS support specialists and data specialists, ensuring that all support activities are completed in a timely manner * Assesses team needs, advocating for training in identified areas of need * Works with the IIS Systems Manager to implement appropriate digital workflows to meet IIS Support team needs * Coordinates and oversees all processes involving user accounts including creation, setting privileges, renewal, unlocking * Provides routine reports to the IIS Deputy Manager on IIS support team activities * Works with IIS Deputy Manager and IIS Manager as needed to administrate parts of the Public Portal that require external interfacing; i.e.; changes to records, access to records, record requests * Monitors team communications to and from the PhilaVax email inbox and responds as needed * Ensures records and communications are answered within a timely manner (48 business hours) * Works as the liaison between IIS and PDPH Call Center and standardize protocols for workflows * Ensures that the work of the data specialists meets the needs of the IIS and works to prioritize work as priorities shift throughout the year * Trains data specialists on deduplication processes and ensures the processes are followed to promote high-quality data in the IIS * Works with the Informatics Team to coordinate and support deduplication efforts in the IIS * Collaborates with the Informatics Team regarding flat file and manual reporting efficiency * Oversees data entry of foreign historical medical records from flat file reporters * Performs other duties as assigned Evidence suggests those from marginalized groups often only apply for jobs if they meet all of the qualifications. SKILLS: * Applicants should be equally comfortable working individually and within a team environment. * Working knowledge of Microsoft Office applications * Attention to detail, excellent communication, and organizational skills * Ability to maintain confidentiality and address sensitive information with tact * Ability to interact appropriately and effectively with a wide range of people * Ability to work non-traditional hours in order to meet the needs of the changing public health environment * Flexibility, professionalism, and the ability to manage multiple projects simultaneously * A valid driver's license is required. * Preferred: Bilingual fluency EXPERIENCE: * 2 years of experience in public health with at least 1 year of experience in IIS * 1 year of customer service experience * Preferred: Experience with Monday.com * Preferred: Experience with RedCap EDUCATION REQUIREMENT: * Master's degree in public health or a related field OR a bachelor's degree and 3 years of public health experience with demonstrated increase in responsibility * Other combinations of degrees and experience will be considered for the role SALARY: $70,000 per year PHMC is an Equal Opportunity and E-Verify Employer.
