The FGCC is charged with investigating and enforcing Florida pari-mutuel and gaming statutes and rules. The FGCC's Division of Gaming Enforcement is searching for a dynamic Administrative Assistant for the agency's Southern Region to assist with the handling of administrative and clerical functions. This role will report directly to the Law Enforcement Section Leader and will support offices located in the Southern Region. Position Responsibilities: Provides administrative support to the Division of Gaming Enforcement Regional Office Section Leader. Assists in answering the main telephone switchboard for the unit. * Responsible for receiving and distributing incoming mail, and faxes. * Reconciles monthly invoices. * Accepts court subpoenas for law enforcement personnel, logs subpoenas, and distributes them to law enforcement. * Assists in completing monthly fleet reports and submits reports to headquarters. * Assists law enforcement personnel with travel by completing travel documents and securing hotel accommodations. * Collects and enters specific investigative information into tracking documents and reports the information to headquarters. * Assists in maintaining the filing system. * Assists with special projects assigned by the Law Enforcement Section Leader. * Coordinates with the Director of Administration and Gov. Ops Consultant in matters relating to administrative work such as Purchasing, Accounting, Human Resource Management, Property Assets, etc. * Collects all property from Division agents and personnel upon separation and coordinates with the Administration. * Manages all central division property assets in accordance with the policies and direction from Administration. * Maintains a current list of phone numbers for Division personnel. * Assist office visitors for the Division. * Complete receiving paperwork for all purchases. * Conducts or assists in the annual property inventory for the Division as requested by the FGCC Property Asset Coordinator. * Assists agents in reconciling and fictitious accounts. * Discusses, collaborates, and plans with the Information and Technology unit regarding current and future information technology needs. * Performs other duties as assigned. Required Knowledge, Skills, and Abilities: * Knowledge of computer software programs and administrative principles and practices. * Knowledge of general office procedures, filing, telephone techniques and office equipment. * Knowledge of the principles and techniques of effective communication. * Knowledge of Standard English usage, spelling, grammar, punctuation and proofreading. * Ability to pass Level 2 criminal background check. * Ability to maintain as confidential a variety of criminal information. * Ability to collect, evaluate, and analyze data relating to administrative functions. * Ability to prepare correspondence and administrative reports. * Ability to plan, organize, and coordinate work assignments. * Ability to establish and maintain effective working relationships with others. * Ability to use available technology to perform duties including computer software, hardware, and data systems Minimum Requirements: * Three years of administrative or clerical experience in an office setting. or * An associate's degree from an accredited college or university and one year administrative or clerical experience in an office setting.
