Qualifications requirements: * 8 years administrative, project coordinator or comparable experience; prior BMS and Executive Associate Experience preferred. * High School degree, some college or degree desirable. * Excellent organizational and time management skills. * Strong written and verbal communication skills. * Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook Sharepoint) * Ability to work independently and as part of a team. * High level of professionalism and attention to detail. * Ability to handle multiple tasks and prioritize effectively. Competencies: * Proactive: Anticipates needs and takes initiative to address them. * Detail-Oriented: Ensures accuracy and thoroughness in all tasks. * Adaptable: Able to adjust to changing priorities and work under pressure. * Discreet: Maintains confidentiality and handles sensitive information with care. * Collaborative: Works well with others and fosters a positive team environment. Knowledge and skills: * Administrative Support: * Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements. * Prepare and edit correspondence, reports, presentations, and other documents as needed. * Identify reporting needs and generate project-related metric and trend reports on a periodic basis to support team * Handle incoming and outgoing communications, including emails * Responsible for departmental updating of various SharePoint sites and other tracking reports. * Maintains professional and technical knowledge by remaining current with BMS continuous learning modules * Meeting Coordination: * Organize and coordinate meetings, including preparing Supporting development of meeting materials, agendas, minutes, and following up on action items. * Arrange logistics for on-site and off-site meetings, conferences, and events. * Travel and Expense Management: * Coordinate travel arrangements, including flights, accommodations, and transportation. * Prepare and submit expense reports in a timely manner. * Project Support: * Assist with special projects and initiatives as assigned by the leadership team. * Conduct research and gather information to support project planning and execution. * Maintaining and reconciling project budget and expenses(as necessary). * Office Management: * Maintain expertise, for a specialized administrative function including purchase orders, international travel, visa applications, onboarding etc. * Liaise with internal and external stakeholders, including vendors, clients, and other departments. * Confidentiality and Discretion: * Handle sensitive and confidential information with the utmost discretion and professionalism. * Ensure compliance with company policies and procedures. * Office Management: * Maintain expertise, for a specialized administrative function including purchase orders, international travel, visa applications, onboarding etc. * Liaise with internal and external stakeholders, including vendors, clients, and other departments. * Confidentiality and Discretion: * Handle sensitive and confidential information with the utmost discretion and professionalism. * Ensure compliance with company policies and procedures. #BMSBL If you come across a role that intrigues you but doesn't perfectly line up with your resume, we encourage you to apply anyway.
