Position Summary The Administrative Assistant provides comprehensive support to the Associate Vice President for Academic Operations and the Assistant Vice President of Student Success & Retention. This role involves administrative and faculty support that requires strong organizational skills and a proactive approach so as to enhance the efficiency and effectiveness of the Associate and Assistant Vice Presidents' work. Additionally, the Administrative Assistant collaborates closely with the Executive Assistant to the Vice President for Academic Affairs to support the overall functions of the Office of Academic Affairs. Essential Duties and Responsibilities * Assists the Associate and Assistant Vice Presidents in carrying out their duties and responsibilities; * Demonstrates initiative and works independently, efficiently, collaboratively and with attention to detail; * Maintains confidentiality with regards to all work; * Coordinates faculty contracts, payments, records, lists, etc.; * Manages multiple budgets, overseeing line-item spending, assisting with the development of budgets for the upcoming fiscal year, performing system input, coordinating interdepartmental transfers, generating reports and reconciling budgets including Pro Card statements; * Conducts research and compiles and produces reports; * Manages, in collaboration with the College's Web Developer, all internal- and external-facing websites related to the Office of Academic Affairs as well as desktop publishing projects; * Hires work-study students for a variety of programs; assists with the supervision of work-study students working in the Office of Academic Affairs; * Independently plans and coordinates as well as assists with small- to large-scale events sponsored by the Office and/or Division of Academic Affairs; * Carries out routine office duties including maintaining complex calendars, arranging meetings, screening and routing incoming telephone calls and mail; arranging travel plans and itineraries; greeting visitors and escorting them to appropriate offices and locations; organizing and maintaining file systems, correspondence and other records; creating and maintaining databases and spreadsheets; etc.; * Contributes to the College's mission on diversity, equity and inclusion by fostering a campus culture in which differences based on age, ability, color, creed, cultural background, ethnicity, gender identity or expression, national origin, political viewpoints, race, religious affiliation or spiritual affinity, sexual orientation, socioeconomic class, or veteran status are validated and embraced; * Supports the development of a community that values diversity as an essential part of personal, social, and intellectual development of all its members; * Supports all students with particular attention paid to underrepresented student populations, such as students of color, international students, first-generation students, low-income students, and LGBTQ+ students; * Must be willing and able to work some evening and weekend hours; and, * Performs other duties as assigned. Education and/or Experience Bachelor's degree and/or three to five years related experience and/or training; or equivalent combination of education and experience. Preferred Qualifications Knowledge, Skills, and Abilities To perform this job successfully, an individual should be technically competent and have superior knowledge of all MS Office products, database management, desktop publishing and web development software. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to analyze and balance program budgets. Ability to read and interpret documents, to write routine reports and correspondence, and to speak effectively.
