Position Summary The Talent Management Coordinator will join a highly visible and dynamic talent management team and help support the overall talent management strategy for the Development and Alumni Relations Division at Rice University. This valuable member of the team will be responsible for coordinating day-to-day activities and providing overall support for the talent management efforts for the division. Typical duties include, but are not limited to, managing the end-to-end candidate experience during search processes (candidate correspondence, scheduling for both virtual and in-person interviews, candidate travel, and search committee coordination); assisting with the preparation, delivery and retention of employee documentation; managing team member calendars for internal and external meetings; scheduling and organizing division trainings and retreats; managing new hire onboarding and offboarding activities; entering new or updated information into various systems and/or programs with a high level of precision; preparing various reports, checklists, dashboards and presentations; and collecting data related to organizational performance metrics, execution of division committees and employee events. The ideal candidate must be extremely organized, detail oriented and able to manage multiple concurrent projects in a fast-paced, entrepreneurial atmosphere, and should also have demonstrated strong verbal and written communication skills, high emotional intelligence, and the ability to quickly learn human resources concepts and make them actionable. Requirements * HS Diploma or equivalent * 2+ years of experience in an administrative position and extensive professional interaction with all levels of staff and leadership that are internal and external to an organization * Skills Required * Proficient computer skills and demonstrated experience with office software and email applications * Proficiency in Microsoft Office Suite * Demonstrated success in follow-through and completing routine tasks * Advanced organizational skills and attention to detail * Advanced verbal and written communication skills * Excellent customer service and interpersonal skills * Ability to prioritize and multi-task Essential Functions * Generates routine communications; coordinates production (formatting, copying, etc.) and distribution of documents, such as presentations, reports, brochures, and displays * Plans and schedules calendar(s), resolves calendaring conflicts, and arranges travel * Processes and monitors financial transactions, including resolution of discrepancies * Schedules, organizes, and operates meetings and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors * Maintains office supplies and equipment; obtains vendor quotes, as needed * Serves as the point of contact for general maintenance, health and safety, and other facility concerns within the unit(s); reports any incidents or potential safety problems to appropriate representatives * Tracks completion of required training * Maintains approved content on websites * Performs all other duties as assigned Additional Functions * Assists with the strategy and administrative logistics of all talent management and divisional employee committees, with a focus on engaging staff and other key stakeholders, requiring the ability to interact with high-level divisional and departmental leadership * Reconciles financial transactions for the talent management team * Maintains electronic files, contact lists and internal committee documentation * Communicates with managers and employees regularly to promote the divisional employee referral program * Maintains the divisional talent management website and onboarding materials, updating and revising them periodically * Has frequent contact with division staff and other university offices * Open office environment Preferences * Education and Experience * Bachelor's degree * Experience working in non-profit/higher education settings * Experience working in human resources * Skills * Ability to facilitate employee engagement activities and lead committees * Appreciation for and support of diversity in the workplace in all its forms * Strong organizational and project management skills * High level of maturity and emotional intelligence with capability of exercising good judgment * Ability to handle sensitive and confidential information appropriately and tactfully * Ability to manage many concurrent tasks with varying priorities with minimal oversight * Additional computer skills: * Ability to learn new technology, including recruitment and applicant tracking systems * Strong web and email skills * Ability to adapt to different software applications Rice University HR | Benefits https://knowledgecafe.rice.edu/benefits Rice Mission and Values Mission and Values | Rice University Rice University is an Equal Opportunity Employer with commitment to diversity at all levels, and considers for employment qualified applicants without regard to race, color, religion, age, sex, sexual orientation, gender identity, national or ethnic origin, genetic information, disability or protected veteran status.
