The Internship Coordinator is responsible for the overall development, implementation, growth and daily operations of the internship program for humanities students across the College of Arts and Sciences. In addition, this role provides support to the Chair of Philosophy by tracking and monitoring departmental budgets, providing general departmental support and communication, assisting in promotion and tenure documentation, providing administrative support in the hiring processes, and overseeing student workers. The Internship Coordinator also updates websites, manages social media accounts and coordinates publicity for Philosophy, English and Theology. Duties and Responsibilities 1. Work with faculty to recruit and assess the readiness of humanities students for internships by providing basic screening and directing students appropriately. Facilitate student and internship site matching process. Evaluate student performance and placements to ensure success. Coordinate communications with internship site supervisors to ensure successful outcomes. 2. Work with appropriate faculty to develop internship opportunities for humanities students and create database of organization partners and student placements. Maintain records of legal affiliation agreements with partner organizations. Promote awareness of internship opportunities through workshops, information sessions, websites, emails, newsletters, social media platforms, student groups and other offices on campus. 3. Collect and report on data for the internship program on student retention, academic progress, and employment opportunities. 4. Maintain Philosophy department operating budget. Maintain department spending priorities and provide recommendations to Chair on progress and potential issues; oversee all purchasing and reimbursements; process expense reports for faculty and graduate students. 5. Provide Philosophy departmental office support including but not limited to organizing departmental files and records, supporting Chair in organizing teaching loads and course assignments, support Chair in annual performance reviews of faculty, acting as first point of contact for departmental questions, and sending out Philosophy department-specific announcements as needed. 6. Assist in Philosophy promotion and tenure process. Some responsibilities include soliciting and organizing undergraduate and graduate letters, organizing candidate dossiers, proofread materials, and organizing and catalog publications. 7. Assist in Philosophy faculty hiring process including: start requisition process, coordinate and disseminate all application materials to appropriate search committee members, organize and coordinate campus visits, and process appointment dossiers. 8. Recruit, hire and supervise all student workers, including both undergraduates and graduate assistants assigned administrative support responsibilities. 9. For Philosophy, English and Theology, update websites, manage social media accounts, coordinate AXIS TV slides. Manage publicity for events, posters and bulletin boards. 10. Coordinate lecture series and maintain overall calendar of events for the philosophy department. This involves arranging for all publicity; speaker travel and accommodations; speaker agreements (and accompanying paperwork); receptions and any other aspects having to do with department activities concerning guest speakers and lectures, any outward-facing events, and internal departmental events. Required Knowledge, Skills and Abilities Associate's or vocational/ technical school degree A minimum of 2 years of related experience Must be able to create and maintain excel spreadsheets for budget and expense management. Previous experience and/or ability to quickly learn procurement, accounting and other software. Must be able to effectively communicate verbally and in writing Proficiency in Microsoft Office (Word, Excel, PowerPoint) and web-based and social media applications Skills in project and budget management Excellent customer service; ability to work with a wide variety of constituencies (students, parents, Marquette faculty and staff, community business members) Good organizational and problem-solving skills, flexibility, attention to detail, ability to maintain confidentiality Ability to work independently and to prioritize and complete multiple tasks consistent with assigned timelines Preferred Knowledge, Skills and Abilities Master's degree, preferably in Humanities Knowledge of the Family Education Rights and Privacy Act (FERPA) laws Previous work with internship and/or career development programs or initiatives. Supervisory experience preferred.
