This position is based in Cambridge, MA and will require on-site work at least 3-4 days per week within the Astellas Life Sciences Center. Purpose and Scope: Oversee site strategy, operations, and facilities, manage budgets and resources, and ensure effective communication and collaboration among team members, stakeholders, and vendors. It also involves strategic planning for external partnerships, branding, and events, as well as implementing policies to improve operational efficiency. Essential Job Responsibilities: + Oversee site strategy and site operations/facilities at the Astellas Life Sciences Center (ALSC). + Manage site operation and capital budgets and resources. + Strategic planning for Cambridge/Boston external partnerships. + Liaise with corporate communications for M&D branding strategy and execution. + Liaise with the ALSC Facility Team and Operation Management Meeting. + Facilitate weekly joint the ALSC Facility Team and Operation Management Meetings. + Facilitate regular meetings / liaise with the 441 Morgan Ave. landlord. + Serve as the point of contact for ALSC. + Project manage and budget for ALSC Grand Opening, liaising with Astellas Events and Corporate Communications. + Act as PMO for PJ Genesis (129M operating expense over an 11-year term) and Business Growth Plan. + Facilitate monthly ALSC Governance Committee Meetings. + Present and update ALSC Governance Committee members on operation management matters. + Review and investigate invoice and execute to payment. + Review monthly rent statement and liaise with the finance team. + Oversee site operations management. + Create and send site-wide communication email. + Plan, organize, and execute site-wide events. + Plan, organize, and execute corporate branding events in Boston, such as Boston Pride Events and Cancer for a Walk. + Facilitate regular meetings with EA to the Chief Medical Officer for updating operation management matters. + Handle office space lease-related matters. + Develop and implement site policies and procedures to improve operational efficiency. + Ensure smooth and effective communication and collaboration among team members, stakeholders, and vendors; communicate with the landlord regarding lease and parking matters. + Delegate tasks, ensure productivity, and train and supervise administrative staff. + Manage site service contracts/MSA/PO. Qualifications Required: + Bachelor's Degree. + Minimum 2 years related administrative experience. + Professional command of word processing, Excel, and PowerPoint. + Excellent communication skills, including all levels of management both locally and globally. + Mature judgment, attention to detail, interpersonal and organizational skills. + Ability to maintain confidential information. + Ability to work with multiple departments, demonstrating understanding of functions and developing appropriate contacts and relationships to support corporate communications function. + Ability to identify, organize and work with informational details under general policy framework. + Ability to work independently, with limited direction. + Ability to manage projects to completion. Must independently perform multiple tasks and successfully complete individual projects or assignments. + Ability to independently resolve conflicts related to schedules & resources. + Must demonstrate ability to manage timelines and provide high level of project coordination. + Demonstrated ability to determine best course of action based on operational direction and makes effective course corrections to meet objectives. Preferred: + Office/facility manager experience. + Experience using Video Conferencing. Working Environment: + This position is based in Cambridge, MA and will require on-site work at least 3-4 days per week within the Astellas Life Sciences Center.
