The Visitors Center at West Virginia University is currently accepting applications for a Program Coordinator, Evansdale Tour Leader Supervisor. About the Opportunity This position covers the broad nature of the Visitors Center recruitment, outreach, and program management functions. Under the direction of the Visitors Center Assistant Director, this position will oversee daily operations at the Evansdale Visitors Center. Responsibilities include supervising 10-15 student Tour Leaders, Tour Leader hiring and training, and overseeing daily tour operations with a lense of improving the prospective student visit experience. Check out retirement health insurance benefits, retirement income, and FAQ's. * Wellness programs What You'll Do Recruitment and Outreach: * Coordinate aspects of the campus visit experience to ensure that visitors leave WVU with a positive, comprehensive impression of the university's academic, social, and co-curricular offerings, prompting them to apply or commit to WVU. * Ensure all aspects of the Evansdale tour are coordinated and operating smoothly, including facility access, classroom scheduling, and construction/traffic detours. Schedule transportation for daily campus tours from the Evansdale center, accommodating for accessibility needs of students and guests. Ensure the Visitors Center bus stays well maintained. * Work with Assistant Director/Director to develop tour routes and scripts for new tours and events. * Responsible for delivering visit presentations and facilitating current-student panels to prospective students and guests. * Conduct one-on-one admissions meetings to counsel interested students and their families on academic programs, admissions requirements, housing, financial aid, and student life at WVU. This includes assisting prospective student visitors in completing an application, paying academic and housing deposits, completing a housing application, and registering for New Student Orientation. * Staff the Visitors Center when needed, handling walk-in, check-in, and telephone inquiries providing excellent customer service. * Regularly monitor CRM reports and post-visit surveys to make appropriate changes to the visit experience when necessary. * Is cross-trained in components pertinent to student recruitment, including admissions, financial aid, orientation, academics, and student success resources. * Serve on various University committees and meetings involved in planning and evaluating recruitment and enrollment processes. * Assist with recruiting events including Discover WVU, Decide WVU, Admitted Student Tours, New Student Orientation, high ability events, and Junior Open House. * Travel, when needed, for recruitment purposes such as college fairs, in-market events, and professional development conferences. * Assist with other projects and assignments at the request of the Assistant Director. Staff Management/Development: * Supervise 10-15 student tour leaders at the Evansdale Visitors Center. Serves as secondary supervisor to 10-15 tour leaders at the Downtown Visitors Center. * Oversee Tour Leader recruitment, interviewing, and hiring processes from the point that a potential Tour Leader inquires regarding the role to successfully applying for payroll. * Coordinate Tour Leader onboarding and orientation program to ensure all expectations of office, job duties, and university are met. * Supervise Tour Leader training program, including timeline for training benchmarks, tour certification, and coaching best-practices for trainers. Has authority to take corrective actions when needed to ensure certification process is efficient and complete in a reasonalable and timely manner. * Facilitate ongoing evaluation of student staff to include tour shadowing and tour certification process, has full authority to suspend and/or terminate student staff when not meeting expectations. * Appropriately schedule student staff to ensure needs of the Visitors Center is met at all time. This includes desk shifts, training, tour participation, assisting at UR/EM events, and other opportunities as dictated by Director/Assistant Director. * Manage communication with student staff, including facilitating monthly all-staff meetings, creating content for bi-weekly newsletter, sending out university updates, and notifying team of tour route and script edits. Serves as voice for student staff to professional staff members of the Visitors Center, ensuring staff is apprised of any and all pertinent updates. * Works jointly with University Relations copywriters to ensure that all tour copy is up to date with the latest facts, figures, and messaging dictated by the university, disseminating to all Tour Leaders. * Bachelor's degree in communications, marketing, public relations, hospitality and tourism, advertising, business or other related fields. * A minimum of one (1) year of experience in college admission counseling, sales, marketing, public relations, event planning and/or other related fields. * Demonstrate an understanding of the undergraduate experience at WVU or another large, public institution of higher education, with the ability to counsel prospective students and families regarding the enrollment process and potential concerns. * Ability to rapidly learn WVU admission requirements, basic housing and financial aid requirements, and opportunities for student success. * Ability to supervise, mentor, and motivate staff. * Demonstrate excellent oral and written communication skills with an ability to present information in an understandable and positive manner. * Strong attention to detail, strategic thinking, and follow-through on projects and tasks. * Establish and maintain effective relationships and deal tactfully with other University units, colleagues, visitors, students, parents, counselors, and others. * Ability to gather and analyze data, generate reports, and communicate findings with various stakeholders. * Extensive knowledge of customer service principles with the ability to train others. * Must exhibit professional behavior and image at all times to best represent WVU to our constituents. * Ability to operate a motor vehicle. * Willingness to work nights and weekends at various times throughout the year and travel as needed. * Must pass a credit check to qualify for a university travel and procurement card.
