Employees in the Accounting Assistant II job maintain a complete and accurate record of financial transactions by preparing automated and manual financial and statistical reports to ensure proper accounting and reporting of all transactions. These employees perform routine calculations, post and transfer fiscal data, check the accuracy of computations, reconcile invoices with purchase orders, review and approve receipts for disbursement of funds, and prepare departmental payrolls. Employees exercise considerable judgment in deciding which guidelines or accounting procedures to follow in accomplishing tasks. Accounting Assistant IIs are distinguished from Accounting Assistant Is by the level of difficulty of the financial recordkeeping and responsibility for maintaining complete financial records systems within general guidelines and accounting principles. Work is completed in an office setting and is reviewed by a higher-level accounting or revenue employee for compliance with desired results. Accounting Assistant IIs do not supervise others. TYPICAL JOB DUTIES: * Provides service to internal and/or external customers. * Provides clerical support to a department by processing mail, creating and updating paper and digital files, maintaining office equipment, attending and taking notes at meetings, transcribing minutes, tracking information, making copies, and/or gathering documentation. * Generates and processes invoices and/or payments. * Manages departmental accounts receivable and payable. * Receives, maintains, and processes human resource-related documents and requests (e.g., W4s, terminations, FMLA requests) and relays related information to the appropriate personnel or department. * Plans, organizes, and directs the activities of the payroll function within the department to ensure that payroll is accurate and distributed properly. MINIMUM QUALIFICATIONS: * Experience providing customer service to the public, other jurisdictions, departments, and/or entities to maintain a positive working relationship. * Ability to learn new software programs and/or systems on computers to maintain records. PREFERRED QUALIFICATIONS: Preferred qualifications are experiences, education, and/or other job-related qualifications considered to be highly desirable by Merit System agencies. The preferred qualifications may be used by the hiring agency to identify applicants to invite to participate in subsequent selection processes. * Experience performing data entry functions for record-keeping and/or calculations. * Experience working as a cashier, waiter/bartender, bank teller, or other position that requires the handling of monies with a customer service emphasis. CRITICAL KNOWLEDGES: * Knowledge of accounting software programs to perform the tasks associated with the position, such as reviewing data, monitoring payroll, reviewing accounts payable and accounts receivable, tracking inventory, creating reports, reviewing financial statements, and other similar functions as required by the job. * Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology. * Knowledge of appropriate citizen interactions when dealing with the public. * Knowledge of basic office equipment (e.g. telephone, smartphone, fax machine, copier, computer, calculator). * Knowledge of computer fundamentals and software, including database, spreadsheet, and word processing software. * Knowledge of English language grammar, punctuation, syntax, word usage, and sentence structure. * Knowledge of modern scanning and electronic imaging methods. * Knowledge of payroll principles and procedures, such as calculating timesheets, usage of overtime and compensatory time, and processing new hires and terminations. WORK ENVIRONMENT: Work is conducted almost exclusively indoors in an office setting. Work involves use of standard office equipment, such as computer, phone, copier, etc. PHYSICAL DEMANDS: Job is primarily sedentary involving sitting for long periods of time, but may involve occasional walking or standing for brief periods.
