Directors of Admissions should be welcoming to all residents, staff and visitors and always portray the organization in a positive manner. Candidates must be dedicated to learning the details of the building, company functions and all policies and procedures related to census and admissions. Candidates must have good public speaking skills and be able to effectively network. This position will report to the Administrator and by applying for the position you recognize that nothing in this job description restricts management's right to assign or reassign duties or responsibilities to this job at any time. The ideal candidate will be flexible with their schedule to accommodate potential admissions, marketing events or other needs outside of normal business hours. You may be asked to help in other areas of the building as needed for the optimal performance of your building/department and the well-being of our residents. Essential Job Functions: As a Marketing and Admissions Director in a Grace Management Services facility you must be able to perform the following essential functions as demonstrated by the ability to: Develop and continually maintain the Center's strategic Marketing and Public Relations Plan Call in person or by phone hospital, physician, area business, etc. contacts to increase business Increase patient occupancy levels to meet facility financial plan Seek new ways to promote facility within the local healthcare, business and private residential community Work with other area business to plan and market large scale events Conduct professional, sales-oriented tours to potential residents/representatives of facility. Increase social media exposure through LinkedIn, Facebook, Google, Twitter, etc. Possess knowledge of all service lines of business offered by Sprenger Health Care Systems. Interview potential residents and residents' representatives to collect accurate data on admission inquiries. Communicate with Case Managers and referral sources regarding all referrals to facility. Respond immediately to referrals and follow company protocol. Provide continuous coverage for referrals/admissions. Effectively trains back up person(s) to provide admissions coverage. Collaborates with Case Manager to ensure cost-saving opportunities are utilized. Communicate admission inquiry data in written and verbal form timely to the nursing department and administration. Assign appropriate room to residents in consultation with the nursing department and administration. Greet and escort the resident to the assigned nursing unit providing concierge style customer service Ensure facility is in compliance with PASRR/LOC requirements. Assist Case Managers in facilitation of admissions to the nursing facility. Accept reservations for resident accommodations in an accurate and organized manner. Perform all duties assigned in an effective and timely manner. Follow admission, transfer, and discharge policies and procedures. Keep accurate data in PCC to track referral sources. Complete necessary documentation in a timely manner Maintain accurate records of residents' information. Follows company protocol regarding admission paperwork signing. Communicate an accurate facility census to all facility departments. Notify appropriate facility departments when a resident is admitted and/or discharged. Work cooperatively with all facility department supervisors and administrative staff. Explain facility philosophy, policies, and procedures to potential and new residents and residents' representatives. Ensure all necessary pre-cert and authorization is completed in a timely manner for all managed care admissions. Explain the facility admission agreement and all attachments to potential and new residents and residents' representatives. Promote Sprenger Health Care Systems in a positive manner at all times. Revise and print hospitality binders for facility. Maintain accurate information in the hospitality binder. Order contents and coordinate assembly of welcome bag. Complete resident satisfaction surveys following company protocol. Develop and maintain marketing and plan daily. Collaborate with Director of Business Development on marketing and program ideas to promote facility services. Follow protocol for ordering collateral materials. Establish a good rapport with transferring institutions. Lead the facility internal customer service and marketing efforts. Review resident satisfaction surveys and prepare monthly report for Operations Meeting. Provide customer service training to facility staff. Communicate all current information regarding Medicare, Medicaid, and other payment sources to resident or resident's representative. Must be able to speak in public and in front of large groups. Clear written and verbal communication skills. Proficiency in Word, Excel and all social media platforms Good time management skills Works well in a team environment Ability to maintain confidential information Perform other related duties as directed by the Administrator. Follow OSHA regulations as they pertain to the Admissions Department. Perform other duties as assigned by the Activities Director or Administrator. Job Qualifications 2 years experience in healthcare marketing and public relations preferred, Bachelor degree required with preference in Marketing/Public Relations, must possess excellent communication and organizational skills Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Individuals may be required to: Sit or stand for extended periods of time Reach above shoulder heights, below waist or lift as required to complete the job responsibilities Proper lifting techniques, ability to read computer screens and the ability to follow written and verbal instructions are required Must be able up lift 20 pounds. Raising objects from lower to a higher position or moving objects horizontally from position to position. This requirement occurs to a considerable degree and requires the substantial use of the upper extremities and back muscles. Must be able to balance, climb, crouch, grasp, kneel, pull, push, reach, stand and stoop adequately to perform the essential functions of the job. Must be able to hear, smell, feel and speak adequately to perform the essential functions of the job. Must be able to read and write the English language.
