Seattle Colleges is looking to hire an Executive Assistant in the office of the Chancelor. Salary Range for this position is $67,795 to $93,621 annually. Position Summary ¿¿Under the supervision of the Senior Executive Assistant to the Chancellor, the Executive Assistant will be responsible for providing direct, confidential, and comprehensive administrative support to the Chancellor and to the Senior Executive Assistant to the Chancellor as well as the Board of Trustees and other functions of the Chancellor¿s Office. Responsibilities include but are not limited to: coordinating department and office-wide projects, composing correspondence, room scheduling, research and preparing reports, developing, monitoring, and maintaining budget and financial records, creating and maintaining spreadsheets, establishing and maintaining manual and electronic databases, supporting events, serving on committees and responding to in-person, email and telephone inquiries. ¿ ¿This position may supervise temporary, Work Study, and Student employees.¿ This position is Full-time, working 40 hours per week, Monday through Friday, primarily 8:00am-5:00pm. What you will be working on: * Serve as a confidential assistant to the Chancellor¿s Office. * ¿Assist the Chancellor¿s Office with all duties within the department, interacting with all levels of management, faculty, staff, and students within the Seattle Colleges community, our external partners, and the public. * ¿Serve as a liaison between the Chancellor¿s Office and the Seattle Colleges internal community, as well as the public * ¿Provide direct, confidential and administrative support to the Chancellor¿s Office, including, but not limited to: written correspondence, recording minutes, editing documents, and communicating on behalf of the Chancellor. * ¿Maintain the Chancellor¿s calendar, schedule and confirm meetings. * ¿Provide meeting materials and prepare background information for the Chancellor. * ¿Using sound judgment, respond verbally and/or in writing to requests regarding institutional and administrative policies, guidelines, and procedures and effectively resolve such inquiries in a manner consistent with the Seattle Colleges mission, values, and policies. * ¿Assist in management of the day-to-day operations of the Office of the Chancellor at the direction of the Sr. Executive Assistant. Establish procedures; interpret and apply administrative policies to the work of the unit. * ¿Coordinate facilities reservations, refreshments requests, catering and other arrangements for on and offsite events and meetings. * ¿Provide support for special events and meetings. * ¿Serve on assigned committees and represent the Chancellor¿s Office. * ¿Maintain confidential files for the Chancellor¿s Office. * ¿Coordinate and improve standing processes for Chancellor¿s Office events and communications. * ¿Provide back-up front desk reception services for the Siegal Center. * ¿Provide professional customer service either in person, over the phone and/or in writing, ability to provide accurate and relevant information regarding Seattle Colleges and the Chancellor¿s Office. * ¿Manage Siegal Center conference room calendars and conference rooms. * ¿Maintain department supplies and equipment, lead office wide administrative support initiatives. * ¿Prepare major correspondence; coordinate compilation of information; review and edit a variety of documents. * ¿Prepare and assist in the preparation, compilation, and coordination of reports. * ¿Provide back-up for the processing of personnel records for Chancellor's Office; complete payroll documents, stipends and personal services contracts for Chancellor¿s Office. * ¿Monitor and maintain fiscal budgets, tracks expenditures, manages and reconciles department credit card. * ¿Make travel arrangements and prepare travel documents, reimbursement requests, invoices, payments, personal services and other contracts. * ¿Utilize systems and software programs ensuring effective and efficient use of public resources. Strive to learn new features and uses for software that improves the quality and quantity of work in the unit. * ¿Provide back-up coverage for the Senior Executive Assistant. ¿ This description is not intended to cover every aspect of this job, we are a team that works together to meet the needs of those we serve, and every member of the team is expected to contribute, even beyond the specific responsibilities listed in this description. What you bring as a candidate: (Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience) * Associate's Degree OR any combination of relevant education, training, and experience that indicate successful performance of the essential elements of the position. * ¿3-5 years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or administrative work. * ¿Demonstrated successful experience working with people from very broadly defined diverse communities. * ¿Demonstrated ability to take initiative and proactively add value to a team. * ¿Proven experience working with technology and ability to adapt to new systems. * ¿Superior oral and written communication skills. * ¿Demonstrated ability to exercise independent judgment and take initiative. * ¿Demonstrated ability to manage multiple tasks, set priorities and coordinate activities with complex components with minimum supervision. * ¿Verifiable ability to exercise a high degree of judgement when working in sensitive and highly confidential environments. * ¿Experience monitoring budgets and processing travel, personnel and contract documents¿ Physical Requirements: Persons with disabilities have the right to reasonable accommodation in all aspects of employment with Seattle Colleges.
