Works within the Tour Director Operations (TDO) team structure to manage key scheduling processes and provide administrative support for our River and Small Ship Cruising (SSC) Brands. Strong emphasis on staff communication, both written and verbal, to ensure the successful day-to-day operations of our water based tours. Must be able to apply strong analytic skills. Attention to both detail and the big picture in a fast paced, high demand environment. Must deal consistently, professionally and discreetly with a variety of situations and deadlines. Required to work within a team structure and to prioritize among multiple tasks.

Partnering with land scheduling team and Tour Director Managers (TDM) to create a holistic schedule based on company need, Tour Director (TD) availability, and each TD’s individual strengths and needs. This often includes finding a balance between different, sometimes competing, company needs. Collaborate with Tour Director Managers to ensure that each region/itinerary has appropriate staffing, and design a schedule for each Tour Director that meets their individual professional needs and development. Owning the River and Small Ship Cruising schedule confirmation process including writing emails, confirming Tour Directors in AS 400, and sending out team emails for each region/ itinerary. Includes assigning cabins and hotels in AS 400 for SSC departures. Cabin inventory management. On River, directly manage cabin inventory in AS 400. On Small Ship Cruising, liaise with the Operations Manager to manage student cabins. Track/Report Schengen days for non-European staff. Update notes in Scheduler for Tour Director Travel. Problem-solve emergency schedule changes, manage multi-step process and coordinate with TDM, Air, and WWO as necessary. Liaise with Yield about deployment and staffing. Identify training needs, partner with TDMs and land scheduling team to find the best internal candidates, and liaise with our recruiting department to hire new staff. Includes looking at future deployment (2 years ahead) to plan/train appropriately. Partner with TDMs to write new opportunity postings and publish them to MyTauck (Tauck’s intranet). Coordinate with Tour Director Management and Product Management for new tour development. Systems management for staff and students, including: Building River and Small Ship Cruising workbooks with Tour Director lines. Manage staffing levels and changes according to guest count fluctuations. Presenting material relating to scheduling, best practices, and teamwork to the Tour Directors at Seminar.

KNOWLEDGE/SKILL REQUIREMENTS:

Bachelor’s degree and five + years related personnel or logical scheduling experience. Strong analytical ability and aptitude for problem solving and research. Demonstrated intermediate to advanced skills in Microsoft Office (MS Word, Excel, Outlook, and PowerPoint). Exceptional oral and written business communications skills to communicate the Tauck Brand. Ability to exhibit professionalism and excellence in dealing with challenging situations; handles pressure and stressful situations with grace and composure. Strong administrative skills and proven ability to develop systems to manage simultaneous detailed and timeline driven processes. Ability to multi-task and shift responsibilities quickly and frequently.

• Must be able to commute to the Wilton, CT office 8 days a month.
