Position Title Senior Assistant To, Grade E Position Number 898721 School/Division The Office of Dean of Students Department Full-Time or Part-Time Full-Time Description Reporting to the Senior Director of Campus Recreation, this position performs a full range of secretarial duties on a senior level for the department of Campus Recreation including: Club and Intramural Sports, Fitness Center Operations, Group Exercise Classes and Spirit Support. The incumbent is a key contact for numerous student groups and their representatives and is closely involved with each group on a day to day basis. Responsibilities include, but are not limited to: * Maintains schedules for the Senior Director, Assistant Directors, and facility assets (i.e. courts, exercise studios, etc.) and arrange meetings and events. * Assists with facility management and operations including maintaining facility calendar, welcoming facility users, ordering supplies, sorting, and distributing mail, answering phones, organizing files, oversight of * lost and found and supporting all student and programming initiatives. * Assists with preparing and processing all paperwork for the department, club sports, spirit teams and group exercise instructors. * Provides customer service to students, families, administrators, faculty, staff, and guests. * Supports all relevant stakeholders in understanding Campus Recreation services, structure, and processes. * Works with University-wide offices and other key stakeholders, including other offices within the Health & Wellness team and the division overall, on projects and events across campus. * Assists with arranging and facilitating orientation sessions, onboarding meetings and similar functions for all Fitness Center programs and services, including, but not limited to, Club Sport teams, Intramural Sports teams, student aides and spirit groups. * Attends required department and division meetings. * Prepares minutes and/or summaries, as directed. * Performs other related duties as assigned. Hours: Monday through Friday 9am to 5pm. Subject to bumping. Qualifications * Excellent customer service skills, with experience providing service to a diverse customer base utilizing phone, email, and in person communication skills required. * Proficiency with Microsoft Office, including Excel and Outlook. * Able to multi-task and organize events with overlapping schedules. * Strong attention to detail and close follow-up. * Ability to work well with department directors, students, staff, coaches, and instructors. * Ability to build a friendly rapport with facility patrons and departments campus wide.
