Advantage Technical is looking for a talented and passionate Conference Services Coordinator for our innovate global client in Menlo Park, CA! Do you have what it takes? Contract: Indefinite (possibility of conversion) Pay Rate: $25-30/hr DOE Schedule: 25 hours per week, could be 40+ hours per week depending on events. Must be flexible to work nights and weekends on occasion. Must be independent, reliable, willing to learn, and flexible! Bilingual in English and Spanish preferred. Job Summary: Conference Services Coordinator leads the Dining and Conference Services group in all areas of the campus. They communicate all event orders to catering services as well as support administrative assistance to on-site contracted food service provider. Work with vendors to acquire needed products and services. Provide assistance to staff and clients with decisions on catering orders, audio-visual equipment needs, room layout, set ups, special arrangements and all catering and food events. Essential Duties: Customer Service - Be able to connect with clients and help in any way to ensure a successful meeting. To suggest catering menu choices and set up needs (layout, floral, rentals, etc.) Customer oriented, friendly attitude, patience and enjoy helping others. Answer phone calls and respond to emails for catering orders, interpret problems and provide best solution for the client. Enter orders in database system (Caterease software) and provide weekly and monthly synopsis for catering department. Problem Solving - Capturing information from the client, evaluating options and offer solutions for meeting or catering orders. Be able to solve problems immediately and react to constantly evolving or problems without losing control of the situation. Product and Technical Knowledge - Overall understanding of equipment such as LCD projector, lapel mics, table-top mics, hand-held mics and audio-visual configurations for meetings that range from 5-500 people. Familiarity with alternative products and the nature of technical problems is also meaningful. Strong computer software skills and have tried understanding of MS Office suite and working knowledge of the catering industry scheduling and planning. Decision Making - Provide information for equipment procurement with regards to banquets, conferences, expos, audio-visual, and room décor. Act as Dining and Conference Services Manager in absence of current manager when vital. Responsibilities: Takes the lead with Conference Services in updating and maintaining current and accurate information with catering orders and support, rooms management, meet with clients for facility walk-through and collect all data vital to produce clients' proposal and maintain Conference Services weekly communication distribution to the campus. In addition, they coordinate communication between Conference Services and the Catering Department with respect to banquet event orders, weekly revenue forecasts and setting weekly meeting agendas (including notes after meeting has concluded). Requirements: Prefer two to three years working in any areas of banquets, catering or hotels and restaurant. Good communication, organization and computer knowledge is required. High school diploma or equivalent required. Strongly preferred experience with Caterease software. College and/or hospitality course work preferred. Should be able to lift 35-40 pounds of equipment. This role will often work long hours beyond normal operating hours The base pay range above represents the low and high end of the base compensation range we reasonably expect to pay for this position. Actual base compensation will vary and may be above or below the range based on various factors including, but not limited to, geographic location, actual experience, and job performance.
