Description: Positions Location: Lansing, MI Job Description General Purpose of Job: The Volunteer Coordinator's role is to support the needs of Sparrow in caring for our community by facilitating productive and positive volunteer involvement. The Volunteer Coordinator will work cross-system as needed to help attract, clear and place volunteers in appropriate roles that meet the needs of patients, departments and strategic initiatives within the hospital(s) and beyond. The coordinator role supports ongoing needs of volunteers including training, communication and continued engagement activities. This role is essential to meeting changing needs of volunteer programs and achieving impact. Essential Duties * Support the volunteer application intake process to comply with system standards, which include timeliness and accuracy in conducting criminal background checks, ensuring applications are complete with references, obtaining manager approval of applications, sending accurate and professional correspondence and confirming safety test and health screenings are complete. * Coordinate the onboarding schedule and contribute to communication with internal partners as needed regarding key start dates and end dates of service as appropriate. * Contribute to the recruitment and retention of all volunteers. * Help maintain the database by ensuring the volunteers' information is entered correctly and updated as needed. * Produce reports from the volunteer database as needed on items such as service records, retention, placement and hour reports, and more, as needed. * Provide coordination support to internal and external customers in coordination with department leader. * Provide support to volunteer groups, attend meetings and work in collaboration with Manager of Volunteer Services to provide ongoing education, training and engagement opportunities to enhance volunteer growth and development. * Help volunteers reach their potential so that our organization benefits from their gift of time and talent. * Recognize the sensitive nature of volunteer placements and releasing of information and understand the guidelines as to when the issue needs to be referred to the department leader. * Provide support for department events such as Annual Meeting, Founders' Day, Physician's Dinner and other activities as needed. * Contribute to positive, regular communications with Volunteers and customers. * Seek out and help implement ongoing best practices for retention and volunteer workforce engagement. * Lead by example in cultivating high-quality relationships. * Positively represent Sparrow and Volunteer Services across the system and within the communities we serve Job Requirements General Requirements None Work Experience • See Education section • Experience in Microsoft Office programs • Experience working in a professional setting • Experience with supporting and planning special events. - preferred • Experience working with volunteers - preferred Education • Bachelor's degree in business, communications, or related field and a minimum of 1 year of related experience OR Associate's degree and a minimum of 3 years of related experience OR a High School Diploma/GED and a minimum of 5 years of related experience. Specialized Knowledge and Skills • Ability to present a happy, welcoming image of self and department to every person, every time. • Strong written and verbal abilities, with comfort in public speaking/presentation skills. • Ability to manage projects, involve others in the planning and execution, and pro-actively communicate with leader and team. • Proficient and accurate typing skills • Ability to create correspondence with compelling content. • Excellent judgment pertaining to sensitive matters and ability to keep information confidential. • Ability to use feedback positively to grow and improve. • Must be able to work with a diverse population of volunteers with various skills and abilities. • Experience working with a CRM system or other relational database - preferred • LEAN experience to apply to work projects - preferred University of Michigan Health-Sparrow is an Equal Opportunity/Affirmative Action employer.
