The USC Leonard Davis School of Gerontology is seeking an Administrative Assistant with strong organizational and interpersonal skills to join its team! The Administrative Assistant for Student Services performs various administrative duties and coordination of special events for the school. Under the leadership of the Sr. Associate Dean, the administrative assistant will assume all administrative duties consisting of but not limited to answering phone calls, emails, and assisting walk-in guests. Strong customer service, networking, and computer skills are a must. Key responsibilities include processing travel expense reports, gathering and organizing course syllabi each semester, maintaining an up-to-date archive, and planning and executing departmental events such as seminars and conferences, including logistics like rentals and catering. This Administrative Assistant will also handle vendor payments through the university payment system, ensuring timely and accurate transactions. Strong multitasking and communication skills are essential, and knowledge of USC systems such as Workday and Concur, is a plus! The Administrative Assistant may supervise one or more student workers staffing the office. This is a full-time non-exempt position that will require substantial commitment and flexibility. The Administrative Assistant will work on campus full-time and will be required to possess a valid state driver's license to be able to operate an electric cart to run errands off and on campus. Primary Responsibilities * Managing schedule, using Microsoft Outlook, scheduling appointments, making travel arrangements, screens and prioritizing incoming calls, emails, and correspondence, and determining what contact or action is required for satisfactory disposition promptly. * Organizes programs, events, meetings, or conferences by arranging facilities and caterers, and coordinating speakers. * Handle incoming requests from faculty, staff, students, and prospective students via walk-in visits, telephone, email, and postal mail * Handles and/or supervises all conventional correspondence, travel, schedules, and administrative activities. * Maintain confidentiality and discretion regarding student services and files. * Composes and produces a variety of correspondence, reports, confidential documents, and/or forms. * Assist in maintaining office equipment and purchases. * Processes expenditures for travel and non-travel-related expenses * Will be required to run errands on and off campus as needed. * Performs special projects and assignments as requested Our Ideal Candidate * Is proficient with Microsoft Office Suite (including Word, Excel, Outlook, and PowerPoint) * Is highly organized and able to multitask * Has great customer service skills * Strong writing and analytic skills * Resourceful and self-motivated * Must possess a valid driver's license The hourly rate range for this position is $24-$27.
