EXCITED TO GROW YOUR CAREER? WE'RE GLAD YOU'RE HERE! We are seeking a Meeting Planner to join our SMM Life Sciences team dedicated to a large Pharmaceutical client. This role involves leading and managing meetings, ensuring seamless event execution. As the primary point of contact, you will work closely with colleagues and vendors, overseeing every aspect from site selection and registration to room setup, menu planning, onsite execution, budget reconciliation, and more. Your expertise in keeping projects on schedule and within budget, along with your ability to juggle multiple tasks, will be essential for success in this position. Primary Responsibilities 40% MEETING MANAGEMENT Act as main point of contact for assigned program's Meeting Owners and ensure all milestones elements are communicated and met. Run weekly client status calls to discuss progress. Works with sourcing team and clients on finalizing venue selection. Depending on workload, may be trained on Sourcing and Contracting process. Work with the registration team to build, QC, and launch registration websites. Ensure successful attendee experience. 30% FINANCIAL MANAGEMENT Manages overall project financials and communicates changes to client, while creating cost savings ideas. Manages and negotiates items such as hotel contracts, supplier relationships, audio-visual, general service contracting, hotel, destination management company (DMC), and all third-party contracts. Initiates supplier payments, client invoices, and provides updates to clients in a timely manner. 30% PROJECT MANAGEMENT Independently communicate with meeting owners and clients professionally and confidently. Act as an expert problem solver and manage multiple priorities at once. Stay calm under pressure and work collaboratively. Qualifications 1. Bachelor degree or equivalent experience required. 2. Minimum 2+ years of experience in meeting/event planning (including corporate, pharmaceutical, high-touch programming). 3. Strong knowledge of program/event management and budget maintenance. 4. Prior successful experience in developing and maintaining key client relationships. 5. Prior experience in effectively handling multiple projects/demands. 6. Sourcing and contracting experience preferred, but not required. 7. Excellent computer skills, knowledge of Microsoft Office tools & ability to learn new technology quickly. 8. Ability to travel 30% of time and sit on client's campus in East Hanover, NJ.
