Job Title Program Assistant, Corporate Relations Agency Prairie View A&M University Department College Of Engineering Proposed Minimum Salary $15.25 hourly Job Location Prairie View, Texas Job Type Staff Job Description The Program Assistant, Corporate Relations, under the direct guidance, supervision, and direction of the Program Leader, will help support relations between various internal COE (College of Engineering) stakeholders and the College's many external partners to help ensure positive outcomes. This is a one year position. This position may pay more than the salary listed above depending on the qualifications and experience of the selected candidate. This position is funded by grant or restricted funds. Continued employment is contingent on the renewal of grant or restricted funding. Responsibilities: * Assist in coordinating maintenance of relations between corporate partners and COE stakeholders/supporters including (but not limited to) the Dean's Office, Department Heads, Research Centers, the Development Office, Faculty/Staff, other Colleges, and Career Services. * Take part as needed and directed in company meetings individually and in conjunction with other COE staff responsible for company engagement. * Assist in serving as a point of contact regarding COE corporate engagements for other internal PV stakeholders (Development Office, Career Services, Alumni Affairs, Office of Research, etc.). * Assist in carrying out logistics coordination of all corporate event dates, including also ensuring COE faculty and staff are aware and prepared for all upcoming obligations, deadlines, and deliverables related to corporate engagement. This may include (but is not limited to): * Creating and/or printing out and posting flyers and other advertisements. * Booking rooms, reservations, catering, buses, flights, hotels, getting quotes, finding chaperones (occasionally you may act as one), and filing all paperwork/approvals related to the above. * Checking to ensure reserved rooms are clean, in working order, and getting areas ready for upcoming events if they are not. * Updating related faculty/staff on the background of the external partner's engagements and history with the COE or university. * Help coordinate with corporate facing staff in the Dean's Office to ensure the success and viability of various strategic initiatives including (but not limited to): Scholarships, Grants, Events, Competitions, Jobs/internships, Undergraduate research, Tours, Site visits, and Company run advancement programs. * Help explain and walk companies through the College of Engineering Tiered Engagement Program to ensure companies utilize and understand their benefits. * Answer emails and phone calls from external and internal partners (companies, government entities, etc.) within a 48-business hour turn-around time to ensure prompt and timely responses to partners. * Create detailed weekly reports of all engagements, communications, and on-goings (as well as upcoming dates of note). * Keep quality of external facing communications high (eliminating errors and discrepancies) to ensure a positive view of the COE by external partners and ensure internal university emails are discrete ensuring the same positive view of the COE by internal partners. * Take on long term and short-term special projects for the benefit of the College (including but not limited to): researching ideas/solutions for specific problems (this may include retooling ideas and re-proposing them again), tracking engagements and data/statistics relating to corporate partners, finding and following up with contacts across the university, and compiling requested reports on partners. * Assist partners with being ready for their upcoming events by providing directions, parking reservations (when needed), equipment, and being available to answer questions. * This may require being present during setup and takedown of events throughout the Fall and Spring semesters, resulting in some evening hours worked. * Perform all other duties as assigned. Required Education and Experience: * Bachelor's degree or equivalent combination of education and experience. * No prior experience required. Required Knowledge, Skills & Abilities: * Knowledge of word processing and spreadsheet applications. * Strong verbal and written communication skills. * Strong teamworking, problem solving, and organizational skills. * Maintains attention to detail (quality control) and utilizes sound judgment. * Ability to multitask and work cooperatively with others. Preferred Qualifications: * Bachelor's degree (a Business or Communications degree is a plus). * One to three years of related experience (sales, marketing, communications, administrative office positions, and similar roles are related). Special Requirements: * Applicants with equivalent experience in lieu of a Bachelor's degree may be considered. One year of the related experience is the equivalent of one college year. Applicants being considered for the equivalency must have four years of related experience to meet the equivalency in lieu of a Bachelor's degree plus the minimum required years of experience. Applicants being considered for the equivalency must have a total of four years of experience.
