Faculty Rank or Job Title Director, Medical Student Services Job Category: Administrative (exempt/non-exempt) Department Student Affairs & Admissions-SOM EEO number: 24P260 Position FTE 100% Minimum Annual or Hourly Rate $61,000 Salary Band: UC S05 Job Summary/Basic Function: The Director oversees programs and events designated to enhance the professional advancement of medical students at the Boonshoft School of Medicine (BSOM) to ensure that each student recruited is supported, empowered, and develops professionally while undergoing the transformational experience of becoming a physician. This role supervises staff within Student Affairs and Admission (OSAA) responsible for different aspects of the student's experience, in collaboration with the department of medical education. These duties will include oversight of medical student curricular scheduling, regular assessments of OSSA's resources and supportive activities, participation in medical student educational seminars/lectures, providing professional development programs for BSOM students, and other duties as assigned by the associate dean for student affairs and admissions. This individual will supervise those aspects of OSAA related to student development throughout their matriculated journey. Minimum Qualifications * Bachelor's degree with seven (7) years or more of relevant experience or Master's degree with five (5) years or more of relevant experience. Working experience should be progressively responsible in education, student affairs, student services, program/project management, or equivalent. * At least 1 year of supervisor experience. * Exceptional organizational and strategic coordination skills, with the ability to plan, structure, critically analyze, and operationalize. * Excellent customer service and problem-solving skills, as well as profound relationship building and conflict resolution skills. * Ability to inspire students, faculty, alumni and staff to actively participate in the student support and professional development process. * Ability to engage with a diverse population in a respectful manner that inspires long-term commitments to the OSAA mission as it promotes the BSOM and WSU missions. * Excellent verbal and written communication skills in English. * A detail orientated mind, able to effectively work in the complex ambiguity of an undergraduate medical education (UME) system. Preferred Qualifications * Prior administrative experience in student affairs at the university level, or a work history that can demonstrate equivalent skills. * Holistic understanding of the operations and services provided by a medical school's office of student affairs. * Experience with Qualtrics or similar survey software, and an ability to quickly learn new technology platforms. Essential Functions and percent of time: 40% * Management of all processes and procedures related to clinical experience and scheduling of clinical curricular assignments for medical students. * Supervision of those OSAA services related to matriculated students, including but not limited to medical student scheduling (3rd and 4th year), student events, wellness, activities; career services including support through the match process. * Oversee and manage all HR issues and hiring within the unit. * Manage onboarding efforts for newly hired employees within OSAA, ensuring appropriate plans are developed and new hires have required equipment and access. * Act as the second in command to the Associate Dean for Student Affairs and Admissions in their absence. 35% * Develop and oversee programming to BSOM students to enhance the professional advancement of medical students throughout their matriculated journey; sessions include a focus on wellness. Fostering a sense of community and decreasing burnout. * Counsel and guide off-cycle M3 students to ensure all requirements are met and wellness is maintained. * Develop and host informational sessions for rising 4th year students regarding phased scheduling and graduation requirements. * Meet with students for one-on-one advising related to 4th year scheduling and graduation requirements. * Work closely with the Academic Counselor to support students in their foundations phase. * Lead the creation of and maintenance of Medical Student Performance Evaluation (MSPE) portfolios; including assistance with generating and uploading MSPEs into ERAS and other residency application platforms. Essential Functions and percent of time (cont'd): 15% * Collaborate with assigned faculty and/or committee constructing the Wright Curriculum development strategy to effectively integrate OSAA programs and policies, includes fostering lasting educator-student relationships from pre-matriculation through professional development and alumni engagement. * Coordinate periodic OSAA program evaluations to ensure the experiences being offered by the OSAA consistently meet the service and educational objectives of the school and accreditation body. 10% * Participate as a member of the BSOM Admissions Committee. * Serve as administrator for the Honors Code Counsel and backup administrator for the Student Promotions Committee * Serve on other committees as assigned by leadership to help BSOM meet LCME accreditation needs. * Help promote OSAA team cohesiveness and build a meaningful coalition between OSAA and DME, may include team building workshops, team retreats, activities that develop teamwork, and more. * Other duties as assigned. Non-Essential Functions and percent of time: Working Conditions This individual must have the ability to work effectively with a largely diverse populations, including neurodiversity. The job requires regular communication with students, physicians, faculty administrators, alumni, and volunteers. Ability to work occasional evenings and weekends will be needed to support special OSAA events. Must have a valid driver's license.
