Special Assistant to the Vice President for Student Affairs and Dean of Students (Administrative Specialist (HEOa)) POSITION DETAILS Under the direction of the Vice President of Student Affairs and Dean of Students, and working collaboratively with her Chief of Staff, the Special Assistant is responsible for the resolution of constituent issues; the design, implementation and coordination of special initiatives/programs; the drafting of reports, correspondence, memorandum, and other written materials; written and verbal communications with various stakeholders within and outside of the College including students, parents, faculty, staff, CUNY Central Office, government agencies and other organizations; and other projects as directed by the Vice President of Student Affairs. In addition to the CUNY Title Overview, the Special Assistant will be responsible for the following duties: * Serves as the Vice President's liaison to students, parents and faculty to effectively address and resolve constituents' issues brought to the attention of the Vice President/Dean of Students with sensitivity, efficiency, and confidentiality. * Designs, spearheads, implements, and coordinates special initiatives/programs, focus groups and workshops for students, parents and staff * Markets Student Services programs and services to students, parents, faculty and staff through the creation and disbursement of written communications including publicity materials, electronic mail, oral presentations and other modes of communication. * Drafts and edits correspondence, reports, memorandum and written materials in a clear, concise and timely manner for various constituencies including students, parents, faculty/staff, public/private/government organizations and oversight agencies. * Serves as the Vice President's representative at meetings or events with various internal and external constituencies, communities, and stakeholders. * Provides assistance or direction as needed to program or services for students, parents, faculty or staff. * Serves on planning committees such as Student Orientation and Student Commencement QUALIFICATIONS Bachelor's Degree and four years' relevant experience required. PREFERRED QUALIFICATIONS * Experience dealing with complex student situations. * Ability to approach issues holistically with discretion and confidentiality. * Passionate about student success and student service * Proficient in Microsoft Office 365 Suite (Word, Excel, PowerPoint, Outlook, Teams) and comfortable learning new software platforms (e.g., CRM and Student Information Systems). CUNY TITLE OVERVIEW Provides administrative and program support to an administrative or academic department. * Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications. * Works with appropriate offices related to personnel recruitment, expediting search activities * Research coordinates and organizes materials for key events such as promotion and tenure reviews. * Supervises and trains support staff and student workers. * Manages budget and coordinates purchasing, accounting, and payroll. * Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules. * Performs related duties as assigned.
