Position Title Senior Assistant To, Grade E Position Number 898424 School/Division Hofstra College of Liberal Arts and Sciences-Natural Science Department Full-Time or Part-Time Full-Time Description Reporting to the Chair of the Psychology Department, this position performs a full range of secretarial duties on a senior level for the School & Community PsyD and Clinical PhD within the Department of Psychology. Responsibilities include, but are not limited to: * Prepares and maintains student files from admission to post-graduation. * Assists with collation of student grades, transcripts, incompletes, and externship/internship assignments throughout their time in the program. * Coordinates files for events related to the annual admissions cycle for both programs. * Assists with data collection and management as required for accreditation by the American Psychological Association and the National Association of School Psychologists. * Coordinates travel requests for faculty, graduate students, guest speakers, and job applicants. * Attends regular program meetings and prepares meeting agenda and related items in consultation with the program directors. * Maintains and updates program brochures, the Hofstra Bulletin, and the program web page. * Assists with communication with externship/internship sites and associated contracts and paperwork. * Assists with academic scheduling and registration assistance for graduate students in consultation with program directors. * Files required paperwork for graduation milestones (e.g., qualifying exams, dissertation proposals, final library deposit of dissertations). * Maintains records for fellowships, scholarships, and other financial aid awards. * Maintains alumni databases of each program for annual APA-related tasks including feedback surveys and outcomes assessment. * Responds to alumni requests for doctoral degree verification and other related tasks. * Performs other assigned duties not specifically identified above, but which require the same degree of skill and which are normally included within the above job title. Hours: Monday through Friday 9am to 5pm. Subject to bumping. Qualifications * Advanced proficiency in Microsoft Word, Excel, and Outlook required. * Proficiency with shared digital file organization via Microsoft OneDrive or equivalent. * Ability to prioritize multiple tasks and handle confidential and sensitive information with discretion. * Must be detail-oriented and a team player. * Excellent interpersonal, communication, organization, and problem-solving skills. Preferred Qualifications * Proficiency with Qualtrics (or other survey software) and Adobe PDF forms/functions preferred. * Experience with one or more of the following software platforms or equivalents: Ellucian Banner, Chrome River, DegreeWorks/Navigate, Slate, and 25live. * Experience with LinkedIn and other social media platforms. * Familiarity with accreditation processes and graduate degree programs.
