The Program Assistant's centralized location is conducive to easy monitoring of the lobby area, supervising any student employees as they answer the phone, speak with clients, and assist those who come to the Center in person. They must be alert and attuned to all activity transpiring with the office, ready to assist or intervene if the student employee needs help. The incumbent ensures all clients in the lobby are being assisted. The Program Assistant ensures the flow of office activities. The incumbent ensures the routines and procedures within the office and coordinates the flow of communications as required for the Touch of Nature Outdoor Education Center. The Program Assistant has routine contact with the other Center staff either by telephone, email, or in person regarding scheduling, coordination of events, billing etc. Willing and able to provide a professional, friendly, and quality service to students staff, customers, guests, guests, visitors, and suppliers. Displays a positive, "can-do" attitude and tailors service to differing customer needs. Work is performed within the Admin office, and physical facilities at Touch of Nature Outdoor Education Center. Occasionally, there is a need to complete tasks on the SIUC campus.-Handles incoming emails phone calls, messages, and directs them accordingly. Passes event inquiries to the proper personnel and acts as a liaison between clients and Touch of Nature. Responds to routine inquiries from clients to provide or clarify information on departmental services, policies, and procedures. * Composes routine correspondence and transmits information or documents using various form of media (ex: computer, social media, mail services). * Resolves customer service complaints and refers unresolved customer grievances to designated personnel for further investigation. Conducts surveys and gathers data for statistical analysis. Prepares reports of contacts regarding quality of services and reports client feedback to higher personnel. * Greets visitors, determines nature and purpose of visit, directs an/or escorts them to destination provides information regarding organization and employees. May perform on-site visits or tours of facilities to clients to ascertain client's needs and/or monitor the quality of services provided. * Facilitates and processes EMS scheduling and Active online registrations. Keeps an accurate record of details from events, updating online management system as the event progresses, and post-event debrief. Actively communicates to the team and makes up-to-date adjustments to events as they occur. * Assists with the preparation of all Outdoor Education and Inclusion events and programs, ensuring that all items are available and completes service checks before events and programs. * Assists higher level personnel in maintaining unit records and reports, ordering of necessary procedural flow. * Assist with the supervision of fieldwork students, temporary/part-time employees, and student employees, as needed. * Receives payment for fees, verifies amount due as shown on statement against payment offered, makes changes, if necessary; issues receipts, and processes all monies (cash, check, and credit card sales) received according to policy and procedure. Balances daily. * Assists with the operational running of their area of responsibility; ensuring that operational procedures are always followed. * Works a varied schedule of days, weekends, and evenings. * The Program Assistant is always subject to the University guidelines and adheres to the Policy and Procedures of both Southern Illinois University and Touch of Nature. * Must be effective at building working relationships, working co-operatively with a wide range of interpersonal skills; being aware of how behavior impacts others, showing tolerance and respect, being open and honest, and having a genuine desire to support others and their well-being. * Performs other related duties as assigned.1. Bachelor's degree.   Preferred: 1. Bachelor's degree in Recreation, Education, or Forestry. 2. Wilderness First Responder Certification 3. Level 1 or 2 Leave No Trace Certification
