Job Description: As a Travel Agent II at Intermountain Healthcare, you will be pivotal in overseeing our hotel program and assisting caregivers with their travel arrangements. Utilizing your skills in travel management, computer proficiency, and customer service, you will ensure that travel arrangements are both efficient and cost-effective for our employees. Essential Functions * Hotel Program Management: Oversee and optimize Intermountain Healthcare's hotel program, including negotiating rates, managing vendor relationships, and ensuring compliance with travel policies. * Travel Coordination: Assist executive leaders with booking travel arrangements, including flights, accommodations, rental cars, and other travel-related services using a Global Distribution System (GDS). * Customer Support: Provide excellent customer service to caregivers, addressing travel inquiries, troubleshooting issues, and ensuring smooth travel experiences. * Policy Adherence: Ensure compliance with corporate travel policies and guidelines, making recommendations for improvements as needed. * Website Management and Communications: Updates the website regularly, ensuring all content remains accurate and current, supports newsletters on the Intermountain communication platform and maintains clear and effective communication with caregivers, travel suppliers, and internal stakeholders regarding travel arrangements and updates. Skills Travel Planning: Ability to plan and organize travel itineraries, including flights, accommodations, transportation, and activities. Customer Service: Excellent interpersonal and communication skills to provide personalized service and handle customer inquiries and concerns effectively. Attention to Detail: Meticulous in ensuring accuracy with bookings, documentation, and travel arrangements. Problem-Solving: Capacity to resolve issues that arise during travel, such as flight delays, booking changes, or emergencies. Technology Proficiency: Comfortable using booking systems, travel reservation software, and online travel platforms. Time Management: Efficiently manage multiple bookings and deadlines while maintaining high service standards. Negotiation Skills: Capable of negotiating rates and securing favorable terms with travel suppliers and vendors. Organizational Skills: Maintain organized records, manage paperwork, and keep track of client preferences and travel histories. Adaptability: Flexibility to handle changes in travel plans and accommodate diverse client needs and preferences. Minimum Qualifications * Customer Service Experience: Demonstrated strong interpersonal skills and a commitment to delivering exceptional service to a diverse range of stakeholders. * Organizational Experience: Proven ability to manage time effectively and handle multiple priorities and deadlines with excellent organizational skills. * Communication Experience: Clear, professional verbal and written communication skills, with the ability to engage effectively with individuals at all levels of the organization. Preferred Qualifications * Education: Bachelor's degree or equivalent education in Travel & Tourism, Hospitality Management, or related field * Experience: 3 or more years of experience as a Travel Agent or in a similar role, preferably within a large corporation or healthcare environment. * Technical Skills: Proficiency in computer operations and familiarity with Global Distribution Systems (GDS) such as Sabre, Amadeus, or Travelport. Physical Requirements: Physical Requirements * Ongoing need for the employee to see and read information, documents, monitors, identify equipment and supplies, and be able to assess customer needs. * Frequent interactions with providers, colleagues, customers, patients/clients, and visitors require the employee to verbally communicate as well as hear and understand spoken information, needs, and issues quickly and accurately. * Manual dexterity of hands and fingers to manipulate complex and delicate equipment with precision and accuracy. This includes frequent computer use for typing, accessing needed information, etc. Anticipated job posting close date: 09/12/2024 Location: Key Bank Tower Work City: Salt Lake City Work State: Utah Scheduled Weekly Hours: 40 The hourly range for this position is listed below.
