Basic Function and Responsibility Assist and coordinate office and administrative services for the Chair of the New Testament Department, Chair of the Old Testament Department, and Chair of the Theology Department. Essential Duties Faculty Support Provide administrative support for the Department Chairs the New Testament, Old Testament, and Theology Departments. Provide administrative support for department and program faculty. Manage, coordinate and process the applications and hiring of full-time and adjunct faculty. Assist faculty with their calendars. Supports full-time and part-time faculty with a variety of course-related tasks (e.g., textbook orders, desk copies, library copies, grade submission, class evaluations). Provides light editing for course packs and other course-related documents. Serves as an Accessibility Point Person for faculty, checking course materials for accessibility. Student Support First line of contact for student advising and curriculum planning. Provide academic advising services, including scheduling, including late adds, drops, and overrides. Maintain up-to-date program information to assist students in the registration process. Proctor individual exams with students inside the office as needed by faculty. Administrative Support In coordination with the Department Chair and the Dean's Offices, schedules courses for the department and programs, ensuring appropriate seat and classroom availability. Manage department AUL forms, course scheduling, arranged courses, substitution requests, registration overrides, facilities and campus coordination requests. Monitor enrollment and coordinate enrollment requirements with respective faculty. Review and revise class descriptions for annual university catalog revisions.Plan and budget events, conferences, lecture series, department meetings, and receptions.Create and maintain database for assessment purposes.Prepare and track all accounting documents, such as Reimbursement Requests, Journal Entries, Journal Receipts, Compensation Requests, Wire Transfers, and assisting with Concur. Manage and review the department budgets. Develop budget and system for departmental self-publications. Performs clerical work for the office (e.g. photocopying, shredding, ordering supplies, filing). Process and track library acquisitions for the departments. Order and maintain office supplies for department faculty. Maintain syllabi repositories. Maintain alumni assessment databases and surveys for ATS/WASC. Supervise and delegate tasks to student assistant. Perform other duties as assigned. Supervision Received Reports to the New Testament, Old Testament, and Theology Department Chairs. Qualifications General: Understanding of and commitment to the mission of Talbot School of Theology. Warm, interpersonal skills, cordial, professional demeanor. Ability to work with many different people and handle a variety of tasks, all with a good sense of humor. Dependability, integrity and ability to receive and implement suggestions from supervisors. Willing to be flexible and sustain a learning posture. Strong, stable, mature Christian faith. Maintain a lifestyle consistent with sound Christian principles and standards of conduct promulgated by the institution. Education: High School diploma required, B.A. and/or some academic background preferred. 2-4 years full-time clerical/office experience. Skills: Self-initiating person who is organized and able to work independently with minimal supervision. Able to coordinate, prioritize and delegate as appropriate while handling multiple tasks and meeting deadlines. Excellent oral and written communication, grammar and spelling skills, and telephone manners. Excellent interpersonal skills and works well with a team. Ability to work with a diverse constituency and promote an effective work environment. Strong problem-solving capabilities and innovation, as well as knowledge of office and administrative practices and principles. Type a minimum of 50-65 words per minute with accuracy. High level of computer skills with working knowledge of Mac and PC computers, Microsoft Office, Google Applications and Adobe Acrobat. Ability to use office equipment, copier, fax machine and multi-extension telephone. Willing and able to serve as interdepartmental courier, making frequent deliveries and pickups and performing other jobs that require substantial walking around the campus and climbing stairs.Able to lift heavy boxes and packages while sorting and delivering the mail. Ability to train, supervise and plan the work schedule of one student assistant.
