The Position: The Senior Administrative Assistant will join our team at a critical point in the continued evolution of the college, and the Indianapolis campus specifically. The successful candidate will provide executive level administrative support for the Vice Chancellor Human Resources and Administration, as well as for the HR and Course & Contract Administration teams. The successful candidate will handle details of highly confidential and critical information and function efficiently and effectively in a fast-paced professional environment. The Senior Administrative Assistant will independently manage multiple tasks and projects with competing priorities and deadlines, screen and prioritize communications from external and internal sources and organize and maintain administrative processes. The idea candidate for this role will maintain a professional work environment and serve as principle contact with college and external constituents from local, state, and national agencies, councils, and other organizations. Key Responsibilities: The following is not to be construed as an exhaustive list. Other duties logically associated with this position may be assigned. All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards. * Oversees daily operation of department including greeting and directing guests; maintaining calendars and scheduling meetings and appointments; and screening calls and visitors. * Coordinates meetings for the Vice Chancellor Human Resources and Administration which could include research, agenda preparation and content development. * Comprehensively manages the Tuition Assistance benefit for the Indianapolis campus, including communicating with employees about the benefit and its procedures, tracking individual employee spend against the annual IRS cap, and reporting on utilization. * Proactively understand preferences for scheduling, priority contacts and keeping track of periodic communication needed for priority contacts. * Develops and maintains a system that alerts upcoming deadlines on incoming requests or events. * Manages all equipment, supplies, and technical support needs for the HR & Administration team. * Responsible for routine department communication, including preparing and responding to routine emails, electronic and written correspondence, and calls. * Maintains accurate electronic and hard copy department files, including personnel files. * Coordinates all on and off-campus meetings to include appropriate room accommodations, guest parking, catered luncheons and refreshments, and audio-visual equipment as needed for Vice Chancellor Human Resources and Administration. * Coordinates presentations for internal and external groups and ensures production of professional /quality reports and handouts. * Performs first level research, including preparation of report summaries, and gathering information to assist in preparation of reports and presentations. * Processes purchase requests and prepares payment requests for all expenses incurred by Vice Chancellor Human Resources and Administration. * Accesses budget information from Workday system and tracks department purchases/expenditures and has an overall understanding of department accounts. * Completes special projects as assigned. Position Requirements: The Senior Administrative Assistant will be an experienced professional with excellent organizational, communication and time-management skills and is proficient in office software and equipment. Position Preferences/Ideal Experience: Proficiency with computer software including Microsoft Word, Excel, and PowerPoint is required. Personal Characteristics: * Must demonstrate ability to promote an inclusive environment that reflects the broad diversity and backgrounds represented by our students and employees and which every individual feels respected and valued. * Must exhibit professional demeanor, initiative, and good judgment. * Must be able to work well under pressure and independently. * Must demonstrate excellent oral, written, and interpersonal communication skills. * Must have ability to learn and use applicable software (e.g., Workday, Microsoft O365, etc.) * Must be able to proactively anticipate, and when necessary/appropriate, react to frequently changing priorities and maintain confidentiality on all matters related to the College, its staff, faculty, students, and trustees. * Must demonstrate professional demeanor and ability to defuse challenging situations in a calm manner. * Must have the willingness and ability to occasionally travel on College business, be willing to work occasional extended hours with notice, and be willing and capable of communication outside of normal/standard work hours if/when requested. Education: * Bachelor's degree with one (1) to three (3) years related work experience or * Associate degree or industry related certification along with three (3) to four (4) years related experience Must demonstrate ability to promote an inclusive environment that reflects the broad diversity and backgrounds represented by our students and employees and which every individual feels respected and valued.
