Key Responsibilities Financial Administration * Process resident bank receipts and assist with pulling accounts payable (A/P) invoices. * Post A/P transactions and manage check mailings. * Locate and enter W9 information for new vendors. * Gather, enter, and process all A/P information from multiple campuses. * Allocate credit card expenses across campuses and ensure proper documentation. * Collect receipts, ensure correct coding, and manage sales tax entries. Office Management * Greeting visitors and walk-ins warmly, ensuring a positive first impression. * Answer and direct phone calls professionally and efficiently. * Manage high-level tasks related to the copy machine and printer, including troubleshooting. * Assist with label printing and other administrative tasks as needed. * Process incoming and outgoing mail promptly and accurately. * Order and maintain an inventory of stationery and office supplies to ensure availability. * Oversee the scheduling and availability of company cars. Qualifications * High school diploma or equivalent; additional education or certification in office administration is a plus. * Proven experience in an administrative or office assistant role, preferably in healthcare or a related field. * Strong organizational skills with attention to detail and the ability to multitask. * Excellent communication and interpersonal skills. * Experience with accounts payable or financial processes is preferred.
