The Department of Arts has an outstanding opportunity for a Facilities and Safety Supervisor to join their team.
POSITION PURPOSE
The School of Art +Art History + Design is an academic department within the Division of Arts, College of Arts and Sciences. It currently has 41 faculty members, 22 staff, and 36 graduate students and serves over 640 undergraduate majors and other undergraduate students. The School of Art + Art History + Design is spread over three different locations (the Art Building, the Ceramic and Metal Arts Building located on the East campus, and the Sand Point Studies + Gallery located at Sand Point) for a total of 139,000 square feet. Within these spaces are instructional studios as well as research studios where faculty and students create and make ceramics, glass, sculpture, drawings, photographs, videos, paintings, 3-D prints, prototypes, and much more. All these acts of creation require a safe environment and training to use specialized equipment that is staffed by eight Instructional Technicians. The Facilities and Studio Safety Supervisor will supervise the Instructional Technicians, and oversee all aspects of facility operations, safety, and security. They will also ensure that all faculty, staff, and students have and maintain training to use the studios and equipment contained therein.
POSITION COMPLEXITIES
There is a wide variety of specialized equipment used through the three buildings occupied by The School of Art + Art History + Design. For example: kilns, and furnaces for glass blowing, chemical storage and fume hoods for acid and other materials needed for prints and painting, welding equipment, Woodshop equipment, photo darkroom, laser cutters, pottery wheels, kilns and, glazes, etc. The Facilities and Studio Safety Supervisor is instrumental in creating an environment that allows people with a wide range of skill sets and experience to safely use the equipment and facilities. As the School's space is divided between three sites located over four miles, extra effort is required to ensure safety and building functionality is maintained and coordinated with UW Facilities and a property manager at Sand Point.
POSITION DIMESIONS AND IMPACT TO THE UNIVERSITY
Maintaining safety for all students, faculty, and staff is a driving force in creating this position. In past years this work has been under the domain of several existing positions, as the complexity of safety and security has increased, it is important to have a position devoted to this work. They work independently reporting to school administrator.
DUTIES AND RESPONSIBILITIES
45% Facilities Management
This position will be responsible for the management of facilities under the purview of the School of Art + Art History + Design. They will lead facilities initiatives ensuring projects are planned, executed, and completed within budget and within project timeframes. The Facilities and Studio Safety Supervisor reports to the Administrator and collaborates with the Director and Leadership Council to carry out School space and safety initiatives. The Facilities manager collaborates with faculty to address identified curricular needs and their impact on the planning and use of spaces. Specific duties include:
Oversee facilities maintenance and liaison with appropriate units such as Facilities Services and property managers.
Receive, coordinate, and process all facility and maintenance requests. This includes custodial services and recycling requests, as well as requests for repair of standard locks, doors, electrical, plumbing, windows, heating, and cooling systems.
Coordinate building shutdowns for routine maintenance. Contact building occupants and schedule events to minimize impact on instructional and research activities. Meet with physical plant shops to ensure work is completed in a timely fashion and systems return to 'online' status.
Oversee periodic organization and clean-up of seminar rooms, hallways, loading dock, and other common areas, as needed.
Manage building access and security
Monitor building for suspicious activity and serve as liaison to UWPD.
Manage and monitor alarm systems.
Serve as the first point of contact for after-hours alarm notifications, emergency facilities, and safety situations.
Manage processes and policies for security, facilities, and access. Miscellaneous Equipment and administrative duties
Manage collection, storage, and documentation of surplus property, and prepare items for pick-up by UW Surplus and Moving Services.
Manage annual/quarterly locker rentals and locker maintenance.
Manage processes and policies for all reservable meeting and installation spaces.
Develop, oversee, and manage rentals, event, and exhibition processes and policies.
Approve all events forms installation requests and flex space forms.
Initiate building hours modifications.
Ensure events serving alcohol are compliant with UW, state, and federal guidelines.
Manage reservations for Parnassus, the Gathering Space, catering kitchen, and exhibition spaces.
Other duties as assigned.
30% Management of Schoolwide Safety Initiatives
Serve on appropriate School and University Committee(s) related to health and safety. Serve as Chair of the School's Safety Committee.
Ensure compliance with UW, state, and federal regulations related to equipment and materials used in art studios and shops.
Oversee the development of comprehensive training materials for all studios and shops, ensuring timely completion of training.
Plan and execute graduate student and new employee safety orientations and training.
Manage the development of manuals and SOPs for all labs, studios, and shops ensuring timely updates in an open and public-facing resource.
Manage all lab safety, shop safety, and fire/life safety inspections and follow up with corrections. Monitor the Environmental Health and Safety Lab Safety Dashboard, stay current with any changes in the lab safety program, and proactively address schoolwide and studio-specific safety issues.
Implement a system and systematically address common findings with EHS, Facilities, and technicians.
Other Duties as assigned.
25% Supervisorial Duties
Supervise and oversee work assignments for Instructional Technicians.
Ensure employees have proper safety and discipline/media-specific training.
Hire new employees as necessary and facilitate appropriate onboarding.
Conduct performance evaluations and engage in performance management, as necessary.
Manage studio instructional support in the case of vacation or sick leave absence.
MINIMUM REQUIREMENTS
High school graduation or equivalent AND three years of applicable experience in Art, Design, Facilities management, or related field(s) OR equivalent education and experience.
ADDITIONAL REQUIREMENTS
Demonstrated self-starter with strong organizational skills and ability to manage multiple projects/tasks.
Ability to work with a diverse constituency. Demonstrates respect and commitment to diversity.
Ability to work successfully in a team environment, as well as independently.
Strong interpersonal skills, including effective written and oral communication.
Ability to problem solve, be detail-oriented, take initiative, anticipate needs, and exercise good judgment.
Ability to perform successfully in a high-volume setting with changing priorities and multiple deadlines.
CONDITITONS OF EMPLOYMENT
Must be able to lift 50 lbs.
Must hold a valid driver's license.
May need to respond to alarm events during non-standard hours.
